Information & Records Management Support Officer

- $84,066 per annum + 12% superannuation (pro rata for part time)
- Full time / ongoing
- Wadawurrung/Geelong based role (hybrid work from home - 3 days a week in office)

About the chance

The Information and Records Management team supports WorkSafe to effectively manage, protect and maintain its corporate information and records. The team works across the organisation to promote sound recordkeeping practices and help ensure information is managed in accordance with regulatory requirements.

As the Information and Records Management Support Officer, you will provide practical advice and guidance across WorkSafe on the management (including retention and disposal) of digital and physical records. You will also support people to effectively use WorkSafe's electronic records management system and adopt good information management practices.

You’re building positive relationships, provide practical coaching and support, and contribute ideas that improve the way information and records are managed across WorkSafe.

What You'll Do

- Provide practical information and records management advice and guidance to stakeholders across WorkSafe.
- Support business areas to implement effective records management processes through one-on-one coaching, information sessions and guidance materials.
- Identify opportunities to improve information and records management practices while considering compliance, regulatory requirements and potential risks
- Undertake analysis and assist with reporting on records management services, including service levels, statistics, trends and emerging issues.
- Maintain Electronic Document and Records Management System (EDRMS) documentation and support annual system health checks to maintain compliance.




- Coordinate records management activities with internal stakeholders and external service providers, including storage services, fee reconciliation and authorised disposal of records.

About you

You are a detail-focused and organised professional with a good understanding of records and information management practices. You enjoy working with people, providing practical guidance and helping others understand and apply processes effectively. You will bring strong communication and problem-solving skills, with the ability to work independently while building positive relationships with a diverse range of stakeholders. You are comfortable analysing information, identifying issues and looking for practical ways to improve processes while maintaining accuracy, confidentiality and compliance

Additionally, you will possess the following skills and experience:

- Current knowledge of contemporary recordkeeping and information management practices.
- Strong attention to detail and accuracy, with the ability to work effectively with limited supervision.
- Good written and verbal communication skills, with the ability to engage effectively with a diverse range of stakeholders.
- Good analytical and problem-solving skills, with the ability to interpret trends and anomalies, identify issues and provide practical advice.
- Demonstrated ability to prepare clear documentation, including, procedures, work instructions and other business related documents.




- Exposure to change management initiatives and practices, with the ability to adapt positively to change.

Desirable qualification and experience:

- Certificate IV in Business Administration .
- Records management experience within a government organisation.
- Experience using SharePoint and Office 365.
