About the opportunity The Australian Maritime College is looking for an Administration Officer to join their Seafaring & Maritime Operations (SMO) Administration Team which supports the delivery of exceptional administrative services for Higher Education programs and students.
The SMO Administration Team provides end-to-end support to both Higher Education and Vocational Education and Training (VET) students throughout their learning journey, from initial enquiry and enrolment through to course completion and certification.
This role is responsible for a broad range of administrative activities that contribute to a high-quality student experience and the effective delivery of education and training outcomes. Working within a regulated workplace, the Administration Officer supports compliance with relevant Higher Education and VET standards, policies and quality assurance requirements. Success in the role requires a sound understanding of, or the ability to quickly develop knowledge of, Higher Education and VET frameworks, regulatory obligations, and quality standards.
What you’ll do:
- Provide professional, timely and relevant assistance to current and prospective students, and industry, including course information and responding with appropriate information.
- Coordinate internal self-evaluation processes and external audit activity relating to the Standards for RTOs and ASQA compliance.
- Support the interpretation and application of rules and regulations regarding STCW and RTO compliance assurance.
- Undertake course administration tasks including processing enrolments, assessing student eligibility, creating student files, Task and Guided Study (TAGS) book coordination, assistance with Ocean Seafaring examination processes and all other course related tasks.
- Enter results, confirm student completion, and arrange the issuing of certificates and completion letters.
- Provide reception service as required by responding professionally and effectively to all enquiries with attention to detail and accuracy when providing any information ensuring compliance with relevant requirements.
What we’re looking for:
- Completion of Year 12 or an equivalent combination of relevant experience, education and/or training.
- Demonstrated proficiency in the use of a broad range of software applications, databases and information management systems.
- Experience working with and maintaining Vocational Education and Training (VET) Student Management Systems.
- Sound understanding of Higher Education and VET regulatory and administrative requirements, or the ability to quickly acquire this knowledge.
- Excellent written and verbal communication skills, with the ability to build effective relationships and communicate confidently with diverse stakeholders at all levels.
- Strong administrative, organisational and problem-solving skills,
with exceptional attention to detail and accuracy.
- Proven ability to work both independently and collaboratively within a team environment, demonstrating initiative and a proactive approach to achieving quality outcomes.
Salary details Appointment to this role will be at HEO 5 and will have a total remuneration package of up to $105,665 (pro rata) comprising base salary within the range of $80,869 to $90,312 plus 17% superannuation.
