Virtual Assistant – Administration & Operations Support

Pay: $33 per hour

Job Type: Part-time

Hours: Approximately 2–3 hours per week initially

Location: Remote – Work from Home

About Us

Pathways Advocacy & Support is an independent disability advocacy and peer support organisation dedicated to ensuring people with disability are heard, respected and supported to exercise their rights, choices and control.

We provide free advocacy and peer support services, assisting individuals to navigate the NDIS, understand their rights and have their voices heard.

As our organisation continues to grow, we are seeking a reliable, organised and professional Virtual Assistant to provide administrative and operational support to our team.

About the Role

We are looking for a proactive Virtual Assistant to assist with day-to-day administrative tasks, communications and organisational operations.

Initially, the role will involve approximately 2–3 hours per week, with the potential for additional hours as Pathways grows and operational needs develop.

The position is fully remote, with flexible working arrangements subject to agreed availability, deadlines and organisational requirements.

You will work closely with the Managing Director and support the smooth running of our administrative processes.

Key Responsibilities

General Administration

- Provide administrative assistance to the Managing Director.
- Monitor and manage the general administration inbox.
- Triage incoming enquiries and direct matters to the appropriate team member.
- Prepare, format and maintain documents, correspondence and templates.
- Assist with data entry, record keeping and digital filing.
- Manage routine follow-ups, reminders and administrative tasks.

Communications and Reception

- Monitor incoming emails and respond to routine enquiries using approved templates.
- Assist with appointment scheduling and calendar management.
- Take messages and ensure enquiries are directed appropriately.
- Support professional communication with participants,



providers and external stakeholders.

Referral and Participant Administration

- Assist with the administrative processing of incoming referrals.
- Maintain referral records and assist with onboarding documentation.
- Organise participant-related documentation within approved systems.
- Support the preparation of service agreements, forms and other administrative materials.
- Maintain accurate and confidential records.

Systems and Organisational Support

- Assist with Microsoft 365, Outlook, Word, Excel, Teams, OneDrive and Microsoft Forms.
- Maintain organised digital filing systems.
- Assist with newsletters, basic communications and business materials.
- Support general operational tasks as directed.
- Identify opportunities to improve administrative processes and efficiency.

Essential Requirements
- Previous experience in virtual assistance, administration or office support.
- Excellent written communication and skilled interpersonal skills.
- Strong organisational skills and attention to detail.
- Confidence using Microsoft 365 and cloud-based systems.
- Ability to work independently and meet agreed deadlines.
- A high level of discretion and respect for confidentiality.
- A reliable computer or laptop suitable for remote work.
- A stable, high-speed internet connection.
- Ability to securely access and work remotely through a dedicated Cloud PC provided by Pathways Advocacy & Support.
- A genuine interest in disability inclusion, advocacy or community services.

Please note: Applicants must have their own computer and internet connection. Pathways will provide access to a dedicated Cloud PC, which the successful applicant will log into remotely to undertake their work within our secure working environment.

Highly Desirable

- Experience within the disability, NDIS, community services or not-for-profit sector.




- Familiarity with participant referrals, service agreements or client administration.
- Experience handling sensitive or confidential information.
- Understanding of accessibility and inclusive communication practices.

Confidentiality and Professional Boundaries

Due to the nature of our work, the successful applicant will have access to sensitive organisational and participant information. A strong commitment to privacy, confidentiality and secure information handling is essential.

The role is administrative in nature. All advocacy decisions, participant-specific advice and professional advocacy matters will remain the responsibility of the Managing Director and authorised advocacy staff.

The successful applicant will receive an individual Pathways email address and access to designated secure systems, with permissions limited to the requirements of the role.
