Swann Dentistry and Waverley Road Dental is looking for a warm, organised and motivated Treatment Coordinator / Dental Receptionist to join our growing team.
This is more than a reception role. We are looking for someone who wants to own the patient journey — from the first phone call, through appointments and treatment, to follow-up and ongoing care.
Your outcome
Your goal is to make sure every patient feels welcomed, remembered, cared for and confident about their next step .
You will help ensure patients do not get lost in the system because a phone call was not returned, treatment was not followed up, or an appointment was not rebooked.
What you'll do
- Create a warm, personal experience for every patient
- Answer phones and convert enquiries into appointments
- Coordinate appointments and manage the appointment book
- Follow up patients with outstanding treatment
- Help patients understand their treatment journey, appointments and payment options
- Manage recalls and patient reactivation
- Follow through on tasks until there is a clear outcome
- Work closely with our dentists, OHTs and dental assistants
- Ask for patient feedback, reviews and referrals when appropriate
- Track follow-ups, bookings and treatment outcomes
- Look for ways to improve our systems and patient experience
We're looking for someone who
Has excellent attention to detail and follow-through . You notice when something hasn't been completed and take ownership of the next step rather than waiting to be asked.
You are warm, confident and enjoy talking with people. You learn quickly, accept coaching and want to improve your communication and treatment-coordination skills.
Dental reception experience is highly regarded, but attitude, communication, ownership and willingness to grow are equally important.
