We are seeking a mature, professional, and highly organised/self motivated Client Services

Officer to provide administrative and client support to a fast paced Senior Financial Planner.

This part-time role (approximately 24 hours per week) is ideal for an experienced individual who enjoys building strong client relationships, managing administrative processes, and contributing to a high standard of client care.

As the first point of contact for clients, you will play a key role in ensuring a seamless and professional experience while supporting the efficient operation of the practice.

- Financial and Business Understanding
- A basic understanding of financial concepts including:
- Superannuation
- Personal taxation
- Capital gains tax
- Financial planning processes
- Previous exposure to financial services, accounting, legal or professional services environments will be highly regarded.

- Stakeholder and Third-Party Liaison Skills

- Confidence in liaising with clients, accountants, superannuation funds, insurers, government agencies and other professional service providers.
- Ability to maintain professional relationships while ensuring matters are progressed efficiently.

- Teamwork and Adaptability

- Comfortable working within a small business where flexibility and a willingness to assist others is essential.
- Prepared to contribute to the overall smooth operation of the office, whether assisting with administrative projects, client events or general office support.

Highly Regarded

- Previous experience in financial planning, wealth management, accounting, banking,



legal practice or another professional services environment.
- Understanding of compliance, client record management and document preparation.
- Experience using Xplan as a CRM system, Microsoft Office and digital workflow platforms.

Position Description

Adviser Assistant / Client Care & Services Officer (Part-Time – Approx. 24 Hours pw)

Location: Mildura, VIC

Reports To: Senior Financial Planner & Practice Manager

About the Role

This part-time role (approximately 24 hours per week) to support a senior financial planner. You are required to build strong client relationships, manage administrative processes, and contributing to a high standard of client care.

This role is key to ensuring a seamless and professional experience for clients while supporting the efficient operation of the practice.

Key Responsibilities

Client Relationship Management

· Serve as the primary point of contact for client enquiries by phone, email, and in person.

· Build and maintain positive, long-term relationships with clients.

· Coordinate appointments, reviews, and follow-up communications.

· Manage client correspondence and ensure timely responses to enquiries.

Administrative Support

· Prepare and process client documentation and forms.

· Assist with the preparation of Statements of Advice, review documents, and implementation paperwork.

· Maintain accurate client records in accordance with compliance and privacy requirements.

· Manage electronic and physical filing systems.





· Coordinate document collection and client onboarding processes.

Practice Support

· Support the Senior Financial Planner with diary management and meeting preparation.

· Liaise with product providers, platforms, insurers, and other stakeholders.

· Monitor workflow tasks and ensure actions are completed within required timeframes.

· Assist with compliance-related administration and regulatory requirements.

· Contribute to the continuous improvement of office systems and procedures.

· Assist with preparation & execution of client meetings / functions.

Skills and Experience

Essential

· Previous experience in a client service, administration, personal assistant, or office support role.

· Excellent communication and interpersonal skills.

· Professional presentation and a strong customer service focus.

· High level of attention to detail and organisational skills.

· Ability to manage multiple priorities and work independently.

· Strong computer skills, including Microsoft Office applications and working with a CRM tool.

Desirable

· Experience within financial planning, accounting, banking, insurance, or professional services, such as para legal.

· Knowledge of financial planning software (Xplan) and administration systems.

· Understanding of financial planning processes and compliance requirements.

· RG146 qualification (or willingness to undertake training) would be viewed favourably.
