About the Role
Reporting to our Events & Business Development Lead, you'll own the coordination and delivery of a varied calendar of events. These include workshops, forums, partner activations, flagship events and client-hosted events in our spaces.
This is a hands-on, client-facing role. You'll manage each client from their first enquiry through planning and on-the-day delivery, then follow up after the event. On event days, you're the person on site that the client, speakers and suppliers turn to.
What You'll Do
Client Management and Event Delivery
- Managing client events end to end, from enquiry and quoting through to delivery and post-event follow-up
- Being the client's key contact on the day and on site for the whole event, including bump-in and bump-out
- Planning and running our events calendar, including run sheets, timelines, guest lists and registrations
- Preparing, setting up and resetting event spaces. This includes moving furniture and equipment and managing pack down, so every space is left ready for what comes next.
Suppliers and Logistics
- Coordinating and briefing suppliers, including catering, AV, venues and equipment providers
- Building relationships with trusted suppliers over time
Commercial and Admin
- Issuing quotes and managing deposits, invoices and supplier costs
- Managing registrations, attendee communications and records in HubSpot or other event platforms
- Tracking and reporting on attendance, engagement, partner outcomes and revenue contribution
- Gathering feedback after events and using it to make the next one better
What You Should Know Before Applying Events don't run to a 9 to 5 schedule, and this role won't either. Depending on client needs, you'll sometimes start early, finish late or work outside standard hours to make sure an event succeeds.
The role is also physical. Setting up rooms, moving furniture and packing down are all part of the job.
Event casuals will support you on delivery. But responsibility for making each event happen sits with you, so this role suits someone who takes real ownership and finds satisfaction in seeing an event through from start to finish.
What We're Looking For
You're organised, practical and calm under pressure. You enjoy looking after people, and you're happy to roll up your sleeves when that's what gets the job done.
You'll likely bring
- 1–3 years' experience in events, hospitality, operations or a similar coordination role
- Strong organisational skills and attention to detail
- A hands-on, "no task too small" mindset
- Confidence dealing with clients and a range of other stakeholders
- The ability to juggle multiple priorities and meet deadlines
- A proactive approach and comfort in a rapid-paced environment
- Familiarity with basic AV set-up and assistance
It would be great (but isn't essential) if you have:
- Experience with HubSpot, Eventbrite or similar platforms
- Exposure to quoting, invoicing or budget tracking
