Executive Assistant to CEO | Melbourne CBD An exciting opportunity is available for an experienced Executive Assistant to provide high-level support to the CEO of an established and growing organisation within the Early Childhood Education sector.
Based in Melbourne CBD, this is a busy, hands-on EA position supporting a highly engaged CEO who remains closely involved in the organisation while also managing a range of external commitments, including boards, conferences and broader industry activities.
This isn't simply a diary management role.
We are looking for an experienced EA who can anticipate what is required, stay ahead of changing priorities and bring structure, organisation and calm to a fast-moving executive environment.
About the Role
Working closely with the CEO, you will provide comprehensive executive support across their day-to-day responsibilities, external commitments and broader organisational priorities.
The environment moves quickly, and priorities can change with little notice. You will need to be comfortable making judgement calls, reshuffling plans and determining what requires immediate attention while ensuring nothing else falls through the cracks.
Your responsibilities will include:
- Complex diary and calendar management for the CEO.
- Coordinating meetings, board commitments, conferences and external engagements.
- Managing changing priorities and last-minute requirements.
- Coordinating travel, appointments and broader CEO commitments.
- Preparing and coordinating information ahead of meetings and engagements.
- Acting as a key point of coordination between the CEO and internal and external stakeholders.
- Working collaboratively with other executive support within the organisation.
- Supporting company events, functions and annual planning activities.
- Assisting with the coordination of major organisational events.
- Supporting broader projects and initiatives as required.
- Occasionally accompanying the CEO on visits to operational locations.
- Managing sensitive and confidential information with absolute discretion.
You will need to understand how to support a senior executive with significant capacity and multiple competing priorities, knowing when to act independently, when to escalate and when to protect their time.
About You
This role requires someone who has already operated successfully at a senior Executive Assistant level.
We are ideally looking for:
- Approximately five or more years' experience supporting a CEO, COO or senior C-suite executive.
- Experience working within a mid-sized or large organisation.
- Demonstrated ability to manage a complex and frequently changing executive calendar.
- Exceptional organisation and attention to detail.
- The ability to anticipate requirements rather than waiting for direction.
- Strong judgement and confidence prioritising on behalf of a senior executive.
- A calm and considered approach when plans change unexpectedly.
- Excellent written and verbal communication skills.
- Confidence communicating with senior internal and external stakeholders.
- High levels of discretion, professionalism and confidentiality.
- Strong technology capability and an openness to using AI and emerging tools to work more effectively.
- The ability to manage multiple priorities without becoming overwhelmed.
Previous C-suite EA experience will be important for this appointment.
The Organisation The organisation operates within the Early Childhood Education sector and has an established network of services.
Previous Early Childhood experience is not essential. More important is a genuine interest in the sector and an understanding that you are joining an organisation focused on children, families, educators and quality education.
The CEO remains closely connected to the operational side of the organisation, so there may occasionally be opportunities to accompany them to services and engage with teams across the business.
