Position Overview
Clayfield College is seeking a highly organised, proactive and skilled Executive Assistant to provide executive, project and administrative support to the Principal and Senior Leadership Team. This pivotal role is central to the effective operation of the Principal's Office and supports strategic initiatives, governance activities, stakeholder engagement and key College events.
Working in a fast-paced and dynamic environment, you will manage competing priorities with discretion, professionalism and exceptional attention to detail.
Professional Responsibilities The key areas of focus for this role include:
Principal Support
Provide high-level executive, project and administrative support to the Principal and Senior Leadership Team, including:
- Managing complex diaries, schedules and appointments
- Preparing meeting agendas, papers, minutes and action items
- Drafting, proofreading and coordinating confidential correspondence and reports
- Supporting strategic planning, projects and key College initiatives
- Liaising with internal and external stakeholders on behalf of the Principal
- Coordinating travel, meetings and administrative priorities
Governance Support
Support the College's governance, compliance and reporting requirements by:
- Assisting with College Council and committee administration
- Coordinating mandatory reports and governance documentation
- Supporting child protection and other sensitive record-keeping requirements
- Monitoring key compliance and reporting deadlines
- Maintaining accurate records in accordance with legislative and College requirements
Events & Engagement
Coordinate and support a range of College events and stakeholder engagements, including:
- College Council meetings and Senior Leadership Team events
- Principal's functions, conferences and special events
- Speech Night, Foundation Day and other significant College occasions
- Staff recognition, wellbeing and professional development activities
- Event logistics including venues, catering, guest management and communications
Records & Documentation
Ensure the effective management of records and documentation through:
- Preparing and distributing meeting documentation
- Maintaining electronic and physical records
- Managing document control and filing systems
- Supporting data collection, reporting and analysis
- Ensuring confidentiality and accuracy of information
Communications
Support effective communication from the Principal's Office through:
- Managing correspondence, emails and enquiries
- Preparing staff communications on behalf of the Principal
- Responding to enquiries within delegated authority
- Building positive relationships with staff, families and external stakeholders
- Handling confidential matters with discretion and professionalism
Key Selection Criteria
Competency at this level involves the development and application of skilled knowledge in specialised areas and utilising a broad range of skills:
· Previous experience in a school or educational setting, with a strong understanding of school operations, governance processes and the management of diverse stakeholder relationships
· An understanding of and sympathy to the values and ethos of a Christian Independent School.
· A certificate or Diploma in Business Administration
· Pro-active self-starter with the ability to exercise appropriate judgement and initiative in supporting the Principal in the performance of their duties.
· Highly developed oral, interpersonal and written communication skills.
· Excellent telephone manner.
· Demonstrated ability to display initiative, critically evaluate systems and processes, and implement improvements at a strategic and operational level.
· Exceptional organisational and time management skills.
· Previous senior administrative experience at an executive level is advantageous.
· An awareness of and ability to implement programs that will improve the efficiency of the work and procedures required within the area.
· Highly developed and accurate computer skills, experience in using an integrated Database system (TASS) is desirable.
· Flexibility and a willingness to contribute in a variety of situations for the College as a whole.
· Adaptable team member able to contribute positively and harmoniously.
