The HR & Finance Executive is responsible for supporting the day-to-day human resources and finance operations of the Australia business ensuring accurate, timely and compliant HR and finance operations.
Job Responsibilities
Human Resources Support
- Coordinate monthly payroll activities, including preparation and verification of payroll inputs, employee changes, leave, allowances, deductions, and other payroll-related information.
- Liaise with the external payroll provider to ensure accurate and timely payroll processing.
- Support administration of superannuation, workers' compensation, employee benefits, and other employment-related requirements.
- Manage employee onboarding and offboarding, including preparation of employment documents, system coordination, and employee records.
- Coordinate recruitment activities, including job advertisements, candidate screening support, interview arrangements, offer administration, and pre-employment documentation.
- Maintain accurate and up-to-date employee records, personnel files, leave records, and HR documentation.
- Prepare HR letters and employment-related documentation as required.
- Support employee enquiries relating to payroll, leave, benefits, policies, and general HR matters.
- Assist in employee engagement activities, performance management administration, and other HR initiatives.
- Support implementation and administration of company HR policies and procedures.
- Coordinate with external payroll, HR, insurance, workers' compensation, and other service providers as required.
Finance & Accounting Support
- Manage day-to-day accounts payable activities, including reviewing invoices, coordinating approvals, processing payments, and maintaining supporting documentation.
- Support accounts receivable activities, including customer invoicing, payment tracking, collection follow-up, and reconciliation.
- Review and process employee expense claims in accordance with company policies and approval requirements.
- Maintain accurate accounting and finance records within the company's finance systems.
- Assist with bank, account, and transaction reconciliations where required.
- Coordinate with external accountants, auditors, tax advisers, and finance service providers.
- Support statutory and regulatory reporting requirements in coordination with external advisers.
- Assist with month-end and other routine finance administrative activities.
- Ensure finance processes are completed in accordance with internal controls, approval procedures, and company policies.
Office Administration
- Oversees administrative support for the day-to-day operations of the Australia business.
- Serve as the primary point of contact for local office-related queries.
- Maintain company records, contracts, policies, and other corporate documentation.
- Maintain and manage company stamp usage and records
- Assist with ad hoc HR, finance, and business administration projects as required.
Job Requirements
- Bachelor’s degree in Human Resources, Finance, Business Administration, or related field.
- 3+ years of relevant experience in HR or finance is required
- Strong understanding of Australian HR and Finance regulations and practices.
- Good written and verbal English communication skills, ability to communicate in Mandarin is a plus.
- Knowledge of Australian employment, payroll, superannuation, and general finance requirements would be advantageous.
- Experience working with external payroll providers, accountants, or other professional service providers is an advantage.
- High level of integrity and discretion when handling confidential employee and financial information.
- Able to work independently in a small local team while collaborating effectively with regional and global stakeholders.
- Good numerical ability and solid attention to detail.
