Centre Administrator

Position Overview
BestBrains Learning Centre is seeking a friendly, organised and proactive Centre Administrator to support the smooth day-to-day operation of our learning centre.
The Centre Administrator will be responsible for managing centre administration, liaising with parents regarding student progress and attendance, supporting teachers, maintaining student records, organising learning materials and ensuring the centre operates in a professional and welcoming manner.
This is a people-focused administrative role, ideal for someone who enjoys working with children, parents and teachers and has excellent organisational and communication skills.
Key ResponsibilitiesParent & Student Communication
- Welcome and assist parents and students when they attend the centre.
- Maintain regular communication with parents regarding:
- Student attendance and scheduled sessions
- Student progress and learning outcomes
- Homework and book completion
- Upcoming assessments and level progression
- Class schedules and timetable changes
- Respond to parent enquiries professionally through phone, email and messaging platforms.
- Follow up with parents regarding missed classes, make-up sessions and upcoming bookings.
- Assist with new student enquiries, enrolments and centre information.
Student Progress Administration
- Monitor student progress and maintain accurate student records.
- Track students' book completion, assessments and progression through levels.
- Liaise with teachers regarding student performance and areas requiring attention.
- Ensure parents receive appropriate updates regarding their child's progress.
- Assist with scheduling assessments and communicating assessment outcomes to parents.
- Identify students who may require additional support or follow-up.
Learning Materials & Book Administration
- Organise and maintain student books and learning materials.
- Sort, label and distribute Maths, English, Abacus and Coding books as required.
- Maintain accurate records of books issued to students.
- Check returned/completed books and ensure they are stored appropriately.
- Identify missing, damaged or incorrect books and coordinate replacements where required.
- Maintain adequate stock levels of books, stationery and other centre supplies.
- Assist with preparation of learning materials for upcoming sessions.
Centre Operations
- Assist with the opening and closing of the centre.
- Ensure classrooms and common areas are clean, organised and ready for classes.
- Support the smooth arrival and departure of students.
- Assist teachers with classroom requirements and learning materials.
- Monitor classroom schedules and help ensure sessions commence and finish on time.
- Maintain a professional, safe and welcoming environment for students and families.
- Assist with general centre administration and day-to-day operational tasks.
Enrolments & Scheduling
- Assist with recent student enquiries and enrolment processes.
- Maintain accurate student and family information.
- Coordinate class schedules and communicate available sessions to parents.
- Assist with timetable changes, cancellations and make-up classes.
- Follow up with prospective families where required.
- Maintain accurate records of enrolments and student attendance.
General Administration
- Maintain electronic and physical records in an organised manner.
- Assist with invoicing, payment follow-ups and general fee administration where required.
- Manage centre emails, phone enquiries and parent communications.
- Prepare notices, reminders and communications for parents.
- Assist with promotional events,
Open Days and centre activities.
- Monitor office and stationery supplies and arrange replenishment when required.
- Complete other reasonable administrative duties required for the effective operation of the centre.
Skills & Experience The successful candidate will ideally have:
- Previous experience in administration, customer service, education or a similar role.
- Excellent verbal and written communication skills.
- Strong organisational and time-management skills.
- A friendly, professional and approachable manner.
- Confidence communicating with parents and families.
- Good attention to detail and accuracy.
- Ability to manage multiple tasks in a busy environment.
- Basic computer skills and confidence using email, spreadsheets and administrative systems.
- Ability to work independently as well as part of a team.
- A genuine interest in supporting children's learning and development.

Working Environment The Centre Administrator will work closely with the Centre Director, teachers, students and parents to ensure the centre operates efficiently and provides a positive experience for every family.
The role involves a combination of administrative work, parent communication, student support and hands-on centre duties, including organising books and learning resources.

Pay: $35.00 – $40.00 per hour
Expected hours: 12.0 – 15.0 per week
