Medical Receptionist / Administration Role for Specialist Practice

The Opportunity
This is a varied and rewarding role where no two days are the same. You will play an important part in ensuring our patients receive a positive experience from their first interaction with the practice through to the completion of their appointment.
Working as part of our administration team, you will provide support across reception, patient bookings, medical administration, and doctor support functions.
This position is on a Part-Time basis ( 4 days per week) the successful applicant will be required to work Tuesdays and Fridays, with two additional days per week chosen by mutual agreement.
Key responsibilities
- Provide a high level of customer service to patients and help with queries whilst attending to all relevant duties as a receptionist
- Excel in all duties of medical reception, including attending to patients, booking appointments, providing exceptional customer service and all required jobs on the relevant reception task lists
- Exercise confidentiality whilst dealing with patients' sensitive information and keeping conversation to an appropriate and professional nature
- Ensure all reconciliation of banking is correct throughout the day and completion of closing the bank with cheques, cash, EFTPOS, and Direct Debit
- Proactively look at improving processes and systems to enhance the role of the receptionist
- Engage in active communication with patients, confirming and clarifying information and diffusing difficult patients as needed
- Excel in all duties of Medical Administration, including answering incoming phone calls and providing exceptional patient customer service in a timely and pleasant manner
- Troubleshoot day-to-day challenges and problem solve as required
- Develop relationships and active communication channels with doctors to ensure that any issues are addressed in a timely and efficient manner
- Answer incoming telephone calls promptly, professionally, and courteously.
About you
- Proficiency with computer-based systems including standard Microsoft Office and medical software
- Excellent written and verbal communication skills
- Attention to detail and ability to meet deadlines
- Demonstrated ability to always deal with both internal and external stakeholders with empathy and professionalism
- Ability to work independently and demonstrate strategic thought processes
- Motivated with the ability to work under pressure and to be able to prioritise
- Ability to work under pressure and prioritise effectively
- Prepared to adapt to the changing environment
- Taking part in training and other learning opportunities to expand knowledge
- Adhering to all company policies and procedures
The following experience would be highly regarded, but it is not essential:
- Previous experience in customer service, administration, reception, or a medical environment.
- Previous medical reception or specialist practice experience.

Availability Requirements
Applicants must be available to work shifts between 8:00 am and 6:00 pm.
