About the role The Canberra Hospitals Foundation (CHF) is seeking a highly organised, proactive and people-focused Office Administrator to join our team. This is a varied and hands-on role responsible for supporting the smooth day-to-day administrative operations of CHF, while providing excellent service to donors, volunteers, hospital staff and other stakeholders. Reporting to the Director of Operations, the Office Administrator will provide professional, confidential and effective administrative support across the organisation.

Working Hours: This position will be 30 hours per week (4 days).

Key responsibilities

Office administration and operations

- Provide efficient and professional administrative support to the CHF team members assisting with day-to-day operations.

- Provide a high level of customer service and contribute to a positive experience for all CHF stakeholders.

- Act as a welcoming first point of contact for donors, visitors, hospital staff, volunteers and other stakeholders.

- Answer incoming calls and email enquiries professionally, providing clear and accurate information and referring enquiries where required.

- Manage incoming and outgoing mail, deliveries and general office correspondence.

- Assisting the Director of Operations with maintaining office supplies, equipment and general office organisation, including the processing of invoices and payments.

- Maintain accurate records, files and administrative systems.

- Support the CHF team in adhoc event delivery.

Donation Station

- Assist volunteers with smooth operation of our CHF Donation Station, receiving and distributing comfort items when required to support patient, donor and staff experience.





- Undertake campus deliveries of comfort items to offsite locations.

Donor and financial information

- Process donations received, ensuring an excellent donor experience and accurate administration through the timely issuing of receipts and thank you communications to donors.

- Assist with maintaining an accurate and up-to-date database

About you

We are looking for someone who is:

Essential

- Highly organised and able to manage multiple priorities in a busy environment.

- Detail-oriented, with strong administrative and record-keeping skills.

- Demonstrated integrity, trustworthiness and discretion.

- Ability to maintain confidentiality when handling sensitive organisational, financial and personal information.

- Hold a current Australian driver's licence.

- Working with Vulnerable People (WWVP) registration is required or will be able to obtain one at CHF's expense.

- Confident using Microsoft Office and administrative systems.

Desirable

- Experience using a CRM or database system highly regarded.
