About the Role

This is a dynamic, hands-on office management role with a focus on operations, people and culture, marketing assistance, technology and AI. You will lead key internal initiatives, help the firm run smoothly day to day and assist with billing, payments and financial administration as required.

You will work closely with the Directors and broader team, following through on priorities, sharing reliable information and identifying improvements to systems and processes.

Key Responsibilities

Office Management and Administration

- Manage the smooth day-to-day operation of the Teneriffe office, supported by clear policies and processes.





- Work closely with the Directors to support the productivity and efficiency of the firm.

- Coordinate employee onboarding and offboarding, meetings and office logistics.

- Oversee supplies, equipment, facilities, service providers, mail and deliveries.

- Act as the key internal contact for the firm’s external AML/CTF obligations, including liaison with AUSTRAC.

Technology, AI and Systems Support

- Assist with administration, testing and rollout of new technology, AI tools and workflows.

- Prepare transparent internal guides, checklists and training materials for approved systems.

Precedents and Client Documents

- Maintain and update precedent letters, client documents, annexures and linked workflows.

- Review relevant Lexon and Court updates and coordinate their incorporation into FLP Legal materials, subject to the Directors’ review and approval.

Marketing Assistance

- Keep the marketing calendar and action list current, along with an organised library of approved brand assets.

- Assist with approved website, social media and newsletter updates, as directed by the marketing team.

- Track referral, networking and campaign activity and assist with basic reporting.

Accounts and Financial Administration

- Coordinate client billing and issue invoices in line with the firm’s billing cycle.

- Process trust payment requests and third-party invoices, monitor outstanding accounts and coordinate debtor follow-up.

- Liaise with the accountant, trust auditor and relevant providers on routine accounts matters.

- Assist with QLS requirements,



trust accounting and internal financial controls.

About You

Experience and Skills

- Legal office management experience preferred but not required.

- Strong office management and administrative capability.

- Clear written communication and confidence formatting business documents.

- Proficiency in Microsoft 365 and confidence learning new systems.

- Ability to build positive relationships with clients and colleagues and actively contribute to a supportive firm culture.

- Experience in accounts administration, bookkeeping or financial support (i.e., use of Xero, Hubdoc, Smokeball or legal billing systems) is preferred.

- A competitive salary of $80,000 - $100,000 plus superannuation (pro rata) (car park optional as part of salary package).
