Position Summary:
The People Relations Assistant is a part-time (0.6 FTE) position that plays an important role in supporting the day-to-day operations of the People Relations Department. Working closely with the People Relations Manager, this position provides administrative and coordination support across the employee lifecycle, with a particular focus on recruitment administration, onboarding, compliance, employee records management, and supporting workflows through the College's Human Resource Information System, Martian Logic.
This role is well-suited to a highly organised and detail-oriented professional who enjoys working with people and is passionate about delivering exceptional service. The People Relations Assistant contributes to creating a positive employee experience while ensuring that employment records, processes, and documentation are maintained accurately and confidentially.
Employment Information:
- This is a permanent part-time position, working 0.6 FTE.
- Working days and hours will be negotiated with the successful applicant to meet departmental needs.
Key Responsibilities:
Employee Lifecycle Support
- Support recruitment activities through the College's Human Resource Information System (HRIS), Martian Logic, including job advertisements, candidate communications, interview coordination, and progression of applicants through recruitment workflows.
- Facilitate recruitment and onboarding processes within Martian Logic, ensuring candidate and employee records are accurate, complete, and up to date.
- Coordinate onboarding activities to ensure new employees are suitably prepared, equipped, and compliant for commencement.
- Facilitate offboarding activities,
including managing employee separations and ensuring all offboarding requirements are completed.
- Assist in maintaining a positive employee experience throughout all stages of employment.
People Relations Administration
- Ensure employee information, compliance records, and supporting documentation are stored and maintained accurately.
- Ensure timesheets are entered and processed in a timely manner and follow up approvals where required.
- Respond to, or facilitate responses to, employee enquiries from current and former staff.
- Support the administration and ongoing management of Blue Card compliance in conjunction with the Office Manager.
- Support Queensland College of Teachers (QCT) registration compliance and verification processes in conjunction with the Data Input Officer.
- Assist with the preparation, filing, and management of People Relations documentation and correspondence.
- Liaise with leaders and managers across the College to support People Relations processes, provide administrative guidance, and ensure timely completion of employment-related documentation and workflows.
- Perform general administrative and clerical duties to support the efficient operation of the department.
- Maintain strict confidentiality and professionalism in relation to all employee information, records, and People Relations matters.
Compliance and Record Management
- Support the College's compliance with relevant employment legislation, regulations, and statutory obligations.
- Ensure employee records and documents are accurate, complete, and maintained in accordance with College policies and legislative requirements.
- Assist with employment-related audits and reporting activities as required.
- Contribute to the continuous improvement of People Relations systems, processes, and administrative practices.
Collaboration and Service Excellence
- Build positive and professional relationships with staff across all areas of the College.
- Liaise effectively with leaders, employees, applicants, and external stakeholders as required.
- Contribute positively to team effectiveness through collaboration, flexibility,
and a service-focused approach.
- Support the delivery of People Relations initiatives and projects as directed by the People Relations Manager.
Requirements:
- Previous experience in a Human Resources, People & Culture, recruitment, or administrative support role.
- Experience using HR information systems and employee management databases.
- Strong administration, organisational, and data management skills with a high level of computer literacy.
- Excellent interpersonal, written, and verbal communication skills.
- Ability to manage competing priorities, maintain a high level of accuracy, and work effectively within a team environment.
- Demonstrated ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Applied knowledge of employment legislation and compliance requirements.
- Relevant tertiary qualification in Human Resources or a related discipline (preferred).
- Demonstrated Christian faith, regular involvement in a church community,
- Current Blue Card, or eligibility to obtain and maintain one.
- Written, current Pastoral Reference on church letterhead.
