About the Position
We are looking for a detail-oriented and proactive Project Assistant to support our Project Management team across commercial interior fitout projects.
This is an onsite role suited to someone who wants to develop practical experience in project coordination, procurement, site activities, documentation, and commercial fitout operations.
You will work closely with Project Managers, Designers, Estimators, suppliers, subcontractors, and site teams to help keep projects organised and progressing smoothly from preparation through construction and handover.
Applicants must be based in Sydney, NSW, or able to reliably work onsite in Sydney. This position is not available as a remote or overseas role.
Key Responsibilities
Project Coordination
- Assist Project Managers with day-to-day coordination of commercial fitout projects.
- Review project plans, drawings, specifications, and project information.
- Track project progress, outstanding actions, deadlines, and required information.
- Coordinate with designers, estimators, suppliers, subcontractors, and site teams.
- Maintain accurate and organised project records and documentation.
- Assist with project handovers, close-out activities, and general project administration.
Procurement & Materials
- Assist with identifying material and product requirements from drawings and specifications.
- Support supplier enquiries, purchasing, and material orders.
- Follow up suppliers regarding pricing, availability, lead times, and deliveries.
- Assist with collecting, returning, exchanging, and delivering samples or materials when required.
- Maintain accurate procurement and supplier records.
Site Support
- Attend project sites when required.
- Assist with basic site measurements, photos, and information gathering.
- Support coordination between Project Managers, subcontractors, suppliers, and site personnel.
- Follow up outstanding site requirements and report issues promptly.
- Assist with site documentation and project progress records.
Project Administration
- Assist with project reports, meeting notes, correspondence, registers, and other documentation.
- Help maintain project schedules, records, and supporting information.
- Assist Project Managers with general administrative and coordination tasks.
- Identify missing information or potential issues and raise them with the relevant team member.
Skills & Qualifications
- Diploma or Degree in Construction Management, Architecture, Interior Design, Building, Engineering, or a related discipline is preferred.
- Previous experience in commercial interior fitout, shopfitting, construction, project administration, or a related industry is highly regarded.
- Approximately 1–2 years of relevant experience is preferred.
- Ability to read and understand basic construction or architectural drawings.
- Basic understanding of construction materials and project processes.
- Robust organisational and time-management skills.
- High attention to detail and accuracy.
- Ability to manage multiple tasks and follow up outstanding items.
- Good problem-solving skills and willingness to learn.
- Able to work independently and as part of a project team.
Technical Skills Experience with the following is advantageous:
- Microsoft Excel
- Microsoft Office
- Google Workspace
- AutoCAD
- SketchUp
- Adobe Acrobat / PDF markup tools
- Construction or project management systems
Communication
- Strong written and verbal English communication skills.
- Able to communicate professionally with suppliers, subcontractors, consultants, and internal teams.
- Confident following up outstanding information and tasks.
- Proactive in raising issues and asking for clarification when required.
Work Requirements
- Must be based in Sydney, NSW, or able to reliably commute to our Sydney office.
- This is an onsite position and is not available as a remote role.
- Must be available to attend project sites throughout Sydney when required.
- Full-time availability during company operating hours.
- Comfortable working across both office-based administration and site-related activities.
