About the role The Receptionist is the first point of contact for clients, visitors, suppliers and staff. The role is responsible for providing a professional, welcoming and productive reception service, supporting day-to-day office administration, and helping ensure enquiries and appointments are handled promptly and accurately.
Key responsibilities
- Welcome clients, visitors, suppliers and staff and provide clear assistance on arrival
- Answer incoming phone calls, take accurate messages and direct enquiries to the appropriate person or department
- Manage visitor sign-in processes and ensure reception areas are tidy, safe and professionally presented
- Coordinate meeting room bookings, appointments and visitor requirements
- Receive and distribute incoming mail, deliveries and courier items
- Monitor general email inboxes where required and direct enquiries appropriately
- Maintain accurate records of messages, bookings and visitor information
- Collect and collate tax invoices and enter corporate credit card transactions
- Ensure complete records are entered into the company CRM and maintain accurate data
- Support office presentation by keeping reception, meeting rooms and shared areas organised
About you
- Certificate III or IV in Business Administration, Customer Service or a related field is desirable
- Current driver's licence is desirable
- Previous experience in a receptionist, customer service, administration or front-desk role is desirable
- Experience using phone systems, email, Microsoft Office and general business systems
- Professional, friendly and confident communication style
- Strong attention to detail and accuracy
- Ability to manage competing priorities in a busy front-office environment
- Reliable, punctual and well presented
- Ability to handle confidential information with discretion
