About the role
We are seeking a friendly and organised Saturday Receptionist to join The Happiness Project Psychology team. This role would suit an enthusiastic psychology student as it may involve helping out during group therapy programs with kids. This is a part-time position focused on providing excellent customer service and administrative support on Saturdays, with the potential to increasing to an additional day each week/fortnight.
As the first point of contact for our clients, you will play a vital role in creating a positive and professional experience whilst ensuring our practice runs smoothly.
What you'll be doing
- Greeting clients in a warm and skilled manner as they arrive for their appointments
- Managing appointment bookings, scheduling and confirming client sessions
- Handling telephone and email enquiries promptly and courteously
- Processing client payments and maintaining accurate financial records
- Maintaining confidentiality and adhering to privacy regulations at all times
- Managing client files and ensuring administrative records are kept organised and up to date
- Performing general office duties including filing, photocopying and data entry
- Assisting with client registration and updating client information as required
- Supporting the clinical team by ensuring the reception area is clean, welcoming and well-stocked
- Resolving client queries and concerns with patience and professionalism
- Potentially helping out during group therapy programs if they occur during your shift.
What we're looking for
- Prior reception or customer service experience, preferably in a healthcare or mental health setting
- Excellent communication skills, both verbal and written
- Strong organisational abilities and attention to detail
- Proficiency with computer systems and appointment booking software
- A calm, empathetic approach when interacting with clients who may be experiencing emotional distress
- Ability to maintain confidentiality and handle sensitive information with discretion
- Professional telephone etiquette and a friendly demeanour
- Reliable and punctual, with flexibility to work Saturday hours (and Mondays when required)
- Knowledge of privacy legislation and mental health practice requirements is desirable
- A commitment to supporting a positive workplace culture
