Primary objective The Senior Executive Assistant provides high-level, proactive advice and executive support to senior executives within the Department of Corrections. The role assists with the coordination of day-to-day priorities, ensuring the timely flow of accurate information to executive leaders, staff and key stakeholders.
Key duties and responsibilities
- Provide high level executive support to senior executives, including meeting and secretarial support, research and project support,
financial administration support and oversight of diary management.
- Manage and coordinate the development and implementation of projects and initiatives on behalf of senior executives.
- Develop, coordinate and process executive correspondence on behalf of senior executives,
ensuring high quality and accuracy of all executive correspondence.
- Develop, implement and maintain effective structures and systems to continually improve the accuracy, reliability and quality of correspondence and information flows.
- Build and sustain collaborative relationships and with a variety of stakeholders and liaise effectively and discreetly with all levels of staff within the department, and with external stakeholders, as the first point of contact for the senior executive’s office.
- Foster a positive workplace culture through exemplary practices and role modelling behaviour.
Selection criteria
Essential
- Demonstrated record of success in working with the executive level and a proven ability to exercise sound judgement, particularly in respect to political sensitivity and confidentiality.
- Exceptional organisation and coordination skills, attention to detail and accuracy of written communication, including proficiency in executive administration.
- High level oral communication, interpersonal and networking skills.
- Demonstrated ability to manage and deliver on projects, prioritise and meet competing deadlines and work under pressure while maintaining quality of end product.
- Knowledge and understanding of government and ministerial protocols and procedures.
- Ability to work effectively in a team-oriented and agile team, demonstrating ability and motivation to achieve outcomes using problem-
solving and influencing skills.
- Ability to perform to a high standard with personal resilience, reliability, integrity and accountability.
- Ability and willingness to work outside normal operating hours.
Desirable
- Demonstrated knowledge and understanding of relevant financial, procurement and human resource legislation including Financial
Management Act, Public Sector Employment and Management Act, Procurement Regulations and Information Act.
