The Department of the Senate is seeking applications from those interested in joining the Black Rod's Office in the role of Supervisor, Senators' Services.
The Supervisor, Senators’ Services works at the front counter of the service delivery area responding to face to face, email and telephone inquiries from senators and staff, as well as tending to day-to-day requests that include requests for maintenance, equipment and stationery, sale of gifts, room access and committee room bookings. The Supervisor, Senators’ Services logs requested work into a database, allocates it to relevant service providers and monitors the progress of this work, responding to clients when completed. This position also monitors the Senators' Services hotline telephone, email inbox and request tracking database.
The Supervisor, Senators’ Services supervises staff responsible for the set-up and servicing of Senate Committee rooms and other office support services. Staff supervision includes developing rosters and monitoring day-to-day tasks. The occupant of this position works with supervisors to manage staff resources to ensure the section meets its customer service obligations.
The Supervisor, Senators’ Services responds to client requests in a timely manner and in accordance with established procedures and guidelines. In carrying out these duties, they liaise with senators, their staff, employees and external service providers.
As a cooperative team member, the Supervisor, Senators’ Services works across teams and assists others in the section by carrying out additional duties as required. The Supervisor, Senators’ Services is client-focused, has excellent communication skills and is able to follow directions, policies and procedures.
1. Respond to client requests for a range of office and accommodation services and committee room bookings from senators, staff and departmental staff.
2. Supervise employees to ensure committee and office support services are available as and when required and liaise with other supervisors in the section to ensure maximum flexibility is available in the allocation of resources.
3. Monitor the Senators' Services hotline, inbox and work tracking database and undertake related administrative tasks.
4. Provide backup support for the Senate Commonwealth Car Liaison Officers, which includes administrative duties and use of databases.
5. Provide assistance to other teams in the section as required and work flexibly while maintaining a client focus.
This position requires the lifting and moving of large and heavy items in a safe manner.
The occupant of this position must be willing to work overtime as required and in accordance with the Senate sitting pattern.
