The role:

Swan Materials is looking for a Fleet Maintenance Planner to join our Hazelmere workshop and play a key role in keeping a large and diverse fleet safe, reliable and available. With around 350 trucks and trailers across our fleet, this is a hands-on planning role where your organisation, attention to detail and ability to stay ahead of competing priorities will make a genuine difference.

You’ll work with our Workshop and Transportation teams, external customers, suppliers and service providers, to plan and coordinate maintenance across the fleet. You’ll have visibility across the full maintenance program and be responsible for ensuring scheduled servicing and repairs are planned, tracked and accurately recorded.

You will:

- Develop and maintain comprehensive forward maintenance schedules for the heavy vehicle fleet using MEX and SAP systems
- Plan and coordinate preventative, scheduled and corrective maintenance
- Monitor upcoming work, identify potential scheduling conflicts and adjust plans as operational requirements change
- Work closely with Workshop Supervisors, Mechanics and Operations to coordinate vehicle availability
- Monitor outstanding work and follow up to ensure maintenance is completed within required timeframes
- Coordinate external repairs, specialist services, warranty work and other maintenance requirements
- Raise and manage purchase orders for maintenance activities and external services
- Review maintenance data and trends to identify recurring issues and opportunities to improve fleet reliability
- Support maintenance forecasting, reporting, audits and continuous improvement initiatives
- Build effective working relationships with internal stakeholders, suppliers, contractors and external customers
- Support the Purchasing/Invoice Officer as required

About you:

You’ll be a highly organised and proactive planner who enjoys keeping multiple moving parts on track.



You’ll be comfortable working in a fast-paced operational environment and able to adjust priorities when circumstances change. We’re looking for:

- Experience in maintenance planning, scheduling, production control or a similar coordination role
- Experience working with maintenance management or CMMS systems (MEX, Gearbox, SAP)
- Intermediate Excel and Microsoft Office skills
- Excellent attention to detail, organisation and follow-through
- The ability to manage competing priorities and communicate clearly with a range of stakeholders
- A proactive approach to identifying potential issues before they impact operations
- A collaborative working style and the ability to build strong relationships across workshop and operational teams
