As an Executive Assistant at Rennie Advisory, you will play a key role in supporting our Executive Directors and senior leaders, helping them stay organised, focused and effective in a fast-paced professional services environment.

This is a broad and varied Executive Support role requiring strong organisation, judgement and an ability to anticipate what is needed. You will provide high-quality day-to-day support, proactively manage competing priorities and act as a trusted point of coordination between senior leaders, clients and teams across the business.

You will work closely with Executive Directors and leaders across Rennie, building a strong understanding of their priorities and ensuring their time, meetings, travel and commitments are managed effectively.

The role will include:

Executive support: Providing high-level support to Executive Directors and senior leaders, including complex diary management, meeting coordination, correspondence, document preparation and management of competing priorities.

Diary & schedule management: Proactively managing complex and changing calendars, prioritising commitments, resolving scheduling conflicts and ensuring leaders are well prepared for upcoming meetings and deadlines.

Travel management: Coordinating domestic and international travel, including flights, accommodation, transfers and detailed itineraries, and managing changes as they arise.

Meeting coordination: Organising internal and external meetings, preparing agendas and supporting materials, coordinating logistics and following up on actions where required.

Stakeholder coordination: Acting as a professional and responsive point of contact for clients, senior stakeholders and colleagues, supporting the effective flow of information between leaders and their key relationships.

Document & presentation support: Preparing, formatting and coordinating high-quality correspondence, reports, presentations and other materials for internal and external use.

Information management: Supporting the organisation and management of information, correspondence and records, ensuring important matters are prioritised and followed through.

Business support: Providing broader administrative and project support to senior leaders, including supporting client activities, internal initiatives and other priorities as they arise.

You will work with colleagues and stakeholders across our national and international operations, providing exposure to the broader workings of a growing professional services firm.





The Opportunity

As Rennie Advisory continues to grow, we are looking for an experienced Executive Assistant who enjoys working closely with senior leaders and taking genuine ownership of their support.

You will manage a broad range of priorities, from complex Executive Director schedules and domestic and international travel through to client meetings, correspondence, presentations and broader business activities.

This is not a role where you will simply wait for tasks to be assigned. We are looking for someone who can anticipate what is needed, stay one step ahead, manage competing demands and confidently take ownership of getting things done.

You will become a trusted partner to the leaders you support and an important part of our Business Operations team, helping ensure senior leaders can focus their time and attention where it has the greatest impact.

Experience & Qualifications

We’re looking for candidates with:

Executive support experience: Approximately four years or more of experience as an Executive Assistant or in a similar role, ideally within professional services such as consulting, accounting, legal or engineering.

Diary & travel management: Proven experience managing complex executive diaries, domestic and international travel, information flow and competing priorities.

Professional services experience: A strong understanding of how a professional services environment operates and the importance of responsiveness, discretion and client service.

Technology capability: Advanced proficiency in Microsoft Office 365, particularly Outlook, Word and PowerPoint

Strong organisation: Exceptional organisational skills, attention to detail and the ability to manage multiple priorities and deadlines effectively.

Strong judgement: The ability to work independently, maintain confidentiality and exercise sound judgement when dealing with sensitive or competing matters.





Professional communication: Excellent written and verbal communication skills, with confidence engaging with Executive Directors, clients and stakeholders at all levels.

A proactive approach: Initiative, resourcefulness and the ability to anticipate the needs of the leaders you support rather than waiting for direction.

A collaborative mindset: A positive, practical and team-oriented approach, with a genuine enjoyment in supporting others and contributing to the broader team.

Problem-solving capability: The ability to remain calm under pressure, adapt quickly when priorities change and find practical solutions to issues as they arise.
