The Project Associate – Reporting supports programme monitoring and reporting activities of the Australian Cultural Orientation Programme (AUSCO). The role involves compiling, verifying and maintaining programme data and records, preparing routine statistical and programme reports, coordinating information requests, and monitoring reporting schedules and deadlines to ensure timely and accurate provision of programme information.
Responsibilities
- Assist in the implementation and monitoring of programme reporting activities, maintaining programme records, reporting databases and information management systems to support effective programme delivery.
- Compile, verify, reconcile and maintain participant training data received from delivery locations, facilitating the accuracy, completeness and timely processing of information within Home Affairs reporting systems, internal databases and other relevant platforms.
- Produce routine statistical reports, dashboards, data summaries and performance tracking tools, identifying discrepancies and shortfalls for review by the supervisor.
- Support the preparation of contractual, donor and management reports, including compiling narrative and statistical inputs, consolidating reporting annexes in accordance with IOM and donor reporting requirements.
- Facilitate knowledge management by contributing to central repositories of programme documentation, training records, reporting outputs, reference materials and Standard Operating Procedures (SOPs), ensuring accessibility and version control.
- Coordinate information requests from country offices,
implementing partners, delivery locations and other stakeholders, supporting the timely collection, and dissemination of programme information and key performance indicators.
- Monitor reporting calendars, reporting schedules and contractual deadlines, liaising with relevant programme staff to facilitate the timely submission of reports, updates and supporting documentation.
- Provide administrative and technical support related to reporting, information management and programme monitoring activities, maintaining effective coordination with project staff, delivery partners and relevant support units.
- Demonstrate an in-depth understanding of applicable SOPs, reporting requirements, related systems and databases, and IOM Standards of Conduct. Maintain confidentiality, accuracy and integrity of all programme data and documentation in accordance with IOM policies and relevant data protection requirements.
- Uphold RMM Protection Mainstreaming Minimum Standards while carrying out all duties and responsibilities and demonstrate the ability to remain professional,
impartial and unbiased during all interactions with migrants and colleagues in accordance with the IOM Standards of Conduct and the Instruction on Prevention of Sexual Exploitation Abuse and Harassment (PSEAH).
- Perform such other relevant duties as may be assigned.
Requirements
- Bachelor’s degree in Political Science, Social Sciences, Business Administration, Refugee and Migration Studies, International Relations, Law or a related field from an accredited academic institution with three years of relevant qualified experience; or, High School diploma with five years of relevant professional experience.
- Experience in data management, reporting and/or information management.
- Experience in working with migrants, civil society and government is an advantage.
- Prior experience working for IOM, a UN agency, or another international organization is an advantage.
- Applicants must have the ability to obtain and maintain an AGSVA Baseline security clearance.
- Knowledge of migration-related issues.
- Proven ability to work with vulnerable individuals.
- Excellent written and oral communication skills.
- Attention to detail and ability to organize work.
- Good communication, organizational and interpersonal relationship skills.
- Fluency in English (oral and written) is required.
