Hotondo Homes MNC is seeking an experienced Onsite Construction Administrator to join our team in Port Macquarie, NSW. This is a full-time position (negotiable), where you will play a crucial role in supporting the smooth operation of our construction projects. As an Onsite Construction Administrator, you will be the backbone of project coordination, ensuring that all administrative and operational requirements are met efficiently and effectively. This position is essential to maintaining project timelines, managing documentation, and facilitating communication between all stakeholders on site.

Key responsibilities

- Manage and maintain all project documentation, including contracts, permits, site plans, and correspondence
- Coordinate daily site activities
- Prepare and distribute site reports and progress updates
- Liaise with contractors, subcontractors, and suppliers to schedule deliveries and coordinate on-site activities
- Liase with banks, clients, certiers and council to keep the projects running smoothly
- Process invoices, purchase orders, and client payments to keep projects on track
- Assist with budget tracking and cost control documentation
- Support the Project Manager with administrative tasks and site inspections
- Manage site communications and ensure all stakeholders are kept informed of project developments
- Maintain organised filing systems, both physical and digital, for easy document retrieval

What we're looking for

- Proven experience as a Construction Administrator or similar administrative role within the construction industry




- Strong organisational and time management skills with the ability to prioritise multiple tasks
- Excellent written and verbal communication abilities
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and document management systems
- Knowledge of construction terminology, processes, and industry standards
- Attention to detail and accuracy in record-keeping and documentation
- Ability to work independently and as part of a collaborative team
- Problem-solving skills and the ability to handle unexpected situations professionally
- Preferred: Experience with construction management software or project management tools
