Northern Rivers Children’s Services (NRCS) is a not-for-profit organisation dedicated to providing high-quality early childhood education, care, and family support services to approximately 2,000 children and families across the Northern Rivers region.
We are seeking an enthusiastic and organised Administration Officer to join our team, supporting both Gingerbread House Occasional Care Service and Nimbin Early Learning Service. This is an excellent opportunity for an experienced administrator who enjoys working in a busy environment, values attention to detail, and is passionate about supporting children, families, and their local community.
Position Details
Employment Type: Permanent Part-Time
Hours: 15 hours per week (Monday to Wednesday)
Ordinary Hours: 9:00am – 2:00pm (some flexibility available)
Award: Children’s Services Award 2010
Classification: Support Worker Level 3.1
Rate of Pay: $31 - $32 per hour (above award)
About the Role
As the Administration Officer, you will play a key role in supporting the day-to-day operations of our services. You will be responsible for a broad range of administrative, customer service, enrolment, and financial administration duties while working closely with families, educators, and management.
The successful applicant will be highly organised, adaptable, and capable of managing competing priorities while maintaining a professional, friendly, and positive approach.
Previous experience in an early childhood education and care environment will be highly regarded but is not essential.
The role is primarily based at Gingerbread House Occasional Care Service. However, you will be required to attend our Nimbin Early Learning Service approximately two days per month. Most administrative duties can otherwise be performed remotely or from the Gingerbread House office.
Essential Selection Criteria
To be successful in this role, you will have:
- Certificate III in Business Administration or higher.
- A minimum of two years' experience in an administrative or office-based role.
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Strong database and record management skills, with a high level of accuracy and attention to detail.
- Excellent customer service skills and the ability to respond to parent enquiries professionally and empathetically.
- Well-developed computer skills, including proficiency in Microsoft Office and Outlook.
- A willingness to learn new systems and administrative processes.
- The ability to work independently, manage competing priorities, and meet deadlines.
- Strong interpersonal skills, including a skilled telephone manner and the ability to work collaboratively with colleagues and families.
- Excellent written and verbal communication skills.
- A reliable, professional, and positive work ethic.
- A current Working with Children Check (or the ability to obtain one prior to commencement).
- National Police Check (no more than 6 months old)
- Completed relevant National Child Safety Training (Gecko)
Key Responsibilities
Duties include, but are not limited to:
- Maintaining accurate records using internal databases and systems (training provided).
- Processing childcare enrolments and managing waitlists.
- Performing a range of data entry and administrative tasks.
- Preparing weekly invoices and processing receipts.
- Managing fee collection processes, including debt recovery and payment arrangements.
- Providing administrative support and assistance to families.
- Responding to enquiries and resolving routine concerns in a professional manner.
- Maintaining accurate and confidential filing systems.
- Answering and directing telephone enquiries.
- Preparing, updating, and maintaining forms, documents, and correspondence.
- Photocopying, document preparation, and general office administration.
- Providing executive and administrative support to senior staff as required.
- Assisting with Child Care Subsidy administration and fee management procedures.
