About the role
We are seeking an experiencedFront Office Co-ordinator or an Ambitious Front office Co-ordinatorto join our team on acasual basisat our Kippa-Ring QLD **** practice.
This is a key position that plays a vital role in the smooth operation of our dental practice and the delivery of exceptional patient experiences.
As Senior Front Office Co-ordinator, you will be the first point of contact for our patients and will be responsible for managing the front desk operations, patient interactions, and administrative functions that are essential to our practice's success.
For the right candidate, after 3 months in the casual role, we can discuss the possibility of making the employment Full-time.
Key responsibilities
Managing reception desk operations, including greeting patients, answering telephone enquiries and directing calls appropriately
Scheduling and confirming patient appointments using practice management software, whilst ensuring optimal appointment utilisation
Processing patient payments, managing cash handling and reconciling financial transactions
Maintaining accurate and up-to-date patient records and dental files in accordance with privacy regulations
Coordinating patient flow through the practice to ensure efficient scheduling and minimal wait times
Providing administrative support to dentists and clinical staff, including preparation of treatment rooms and patient charts
Managing practice supplies and equipment ordering as required
Handling patient enquiries and resolving concerns with professionalism and empathy
Mentoring and supporting junior front office staff where applicable
Maintaining knowledge of practice policies, procedures and dental terminology to provide informed patient guidance
What we're looking for
Proven experience working in a front office or reception role within a dental practice or healthcare setting
Excellent communication and interpersonal skills with the ability to engage effectively with patients, staff and external parties
Proficiency in dental practice management software and general computer applications
Robust organisational and time management abilities with the capacity to manage multiple priorities
Attention to detail and accuracy in record-keeping and administrative tasks
Professional telephone manner and customer service excellence
Ability to maintain confidentiality and handle sensitive patient information responsibly
Knowledge of dental terminology and procedures is highly valued
Previous supervisory or mentoring experience would be advantageous
Current knowledge of Australian dental practice standards and patient privacy legislation is preferred
