About the role
The Personal Assistant provides high level executive, administrative and operational support to the Partners and Accounting Team. The role is a central coordination point for partner priorities, client administration, practice workflows, business operations and strategic initiatives, helping the firm operate efficiently while delivering a consistently professional client and team experience.
The position requires sound judgement, discretion, initiative and strong follow through. It suits a trusted professional who can anticipate needs, manage competing priorities, coordinate stakeholders and take ownership of actions through to completion.
Key responsibilities
- Manage Partner and Client Relationship Managers' diaries, client appointments, meetings, travel arrangements and competing priorities
- Monitor Partner inboxes, triage urgent and time-sensitive matters, draft responses and coordinate follow ups where authorised
- Coordinate Partner and Client Relationship Managers, strategic meetings, events, special client matters and related logistical requirements
- Draft confidential correspondence, reports, presentations and client communications in a professional, accurate and timely manner
- Serve as a trusted liaison between Partners, clients, team members and external stakeholders
- Coordinate end to end client onboarding, including engagement documentation,
client records, identity verification, AML checks and system setup
- Prepare documentation for electronic signature and ensure documents are complete, appropriately signed, saved and progressed
- Manage ATO and ASIC correspondence, statutory changes and corporate administration, including company and officeholder updates
- Raise and issue invoices, coordinate billing, and assist with work in progress monitoring and follow-up
- Maintain practice records, registers, recurring obligations and operational calendars

- Ability to work autonomously and collaboratively
- Demonstrated experience in executive support, senior administration, practice coordination or a comparable professional services role
- Advanced proficiency in Microsoft 365
- Experience with accounting, advisory, ASIC, ATO, corporate secretarial or client onboarding processes is highly regarded
- Demonstrated ability to learn new systems and processes quickly and apply them consistently
