Workforce Coordinator | Aged Care

$80,000–$85,000 + Super | Sydney North Shore | Monday–Friday | Fully Onsite | Permanent | ASAP Start

MAYDAY Recruitment is partnering with an established aged care provider to recruit a Workforce Coordinator for one of their busy residential facilities on Sydney’s North Shore.

This is a permanent, full-time opportunity supporting the day-to-day workforce requirements of a large facility with approximately 200 employees.

Working closely with the Director of Nursing and wider People & Culture team, you’ll take ownership of rostering coordination, workforce planning, timesheets, onboarding, compliance and employee administration.

This is a busy and reactive environment, so we’re looking for someone who is highly organised, systems savvy and confident managing changing priorities. You’ll need to be comfortable responding to last-minute staffing requirements while ensuring rosters, employee records and workforce processes remain accurate and compliant.

Previous aged care experience is not essential. We’re open to candidates from other industries who have strong rostering, scheduling, workforce coordination or administration experience and are confident learning new systems and processes.

Role Details

- Sydney North Shore
- $80,000–$85,000 + Super
- Permanent, full-time position
- Monday–Friday, 8:30am–4:30pm
- 5 days per week onsite
- ASAP start
- Supporting a workforce of approximately 200 employees
- Established aged care provider
- Humanforce training provided
- Aged care experience not essential

Key Responsibilities

- Coordinate and maintain fortnightly employee rosters across a large,



shift-based workforce
- Manage staff availability, leave, shift allocations and roster changes
- Respond to sick leave, staffing gaps and last-minute workforce requirements
- Coordinate shift coverage and liaise directly with employees regarding availability
- Manage internal shift bidding and replacement processes
- Work closely with the Director of Nursing regarding daily staffing requirements
- Monitor workforce allocation with consideration for overtime, staffing costs and agency utilisation
- Work within relevant Enterprise Agreement requirements when coordinating rosters
- Review and authorise daily timesheets to support accurate payroll processing
- Coordinate new starter onboarding and required documentation
- Schedule interviews and support site-level recruitment administration
- Maintain accurate employee files, compliance records and workforce documentation
- Respond to employee queries relating to rosters, timesheets and general workforce matters
- Complete regular workforce reporting and maintain accurate system data
- Support broader administration requirements across the facility as required

About You

- Previous experience within workforce coordination, rostering, scheduling or a busy administration role




- Strong systems capability and confidence learning new technology
- Humanforce experience would be highly regarded but is not essential
- Strong attention to detail and a process-driven approach
- Comfortable working with data, reporting and employee records
- Able to manage competing priorities within a busy and reactive environment
- Strong problem-solving skills with the ability to think ahead when managing workforce requirements
- Confident communicating with employees, management and People & Culture
- Proactive and self-motivated, with the ability to work independently and reach out for support when required
- Strong organisational and time-management skills
- Previous experience working with awards or Enterprise Agreements would be advantageous
- Aged care or healthcare experience would be beneficial but is not essential
- Full, unrestricted Australian working rights
- A valid Police Check is required for this position
