The opportunity
Stepping Ahead is an established boutique workplace rehabilitation provider entering its next stage of growth. We are looking for an experienced Accounts and Administration Officer to strengthen the financial and administrative systems that support our business.
This is a varied, hands-on position combining bookkeeping and financial administration with referral coordination and broader business support. With our bookkeeping function moving in-house, you will have genuine ownership of the day-to-day financial administration of the business while also playing an key role in keeping our broader operations organised, responsive and running smoothly.
You will work closely with the Managing Director, Operations Manager, Team Leader and consulting team, with the chance to improve processes, introduce practical efficiencies and help create consistent ways of working as the business grows.
The role
This position sits at the centre of our day-to-day business operations, combining financial administration with broader coordination and business support.
As the person managing our central phone and email channels, you will also often be the first point of contact with Stepping Ahead. Whether you are speaking with a new referrer, client, employer or one of our existing stakeholders, you will play an important role in creating a warm, professional and responsive first impression.
Your key areas of responsibility will include:
- Bookkeeping & financial administration – Managing accounts payable and receivable, reconciliations, transaction coding, payroll administration and month-end information, while liaising with our external accountant as required.
- Invoicing & debtors – Coordinating invoicing, monitoring work in progress and funding approvals,
following up outstanding accounts and maintaining accurate financial reporting for management.
- Referrals & general administration – Managing central phone and email enquiries, supporting new referrals and client setup, coordinating routine correspondence, maintaining accurate records and providing responsive day-to-day administrative support to the wider team.
- Systems & continuous improvement – Developing clear administrative procedures, improving existing processes and helping introduce more efficient and consistent ways of working as the business grows.
About you You are organised, reliable and detail-focused, with the confidence to take ownership of your work and the initiative to make things run better.
Just as importantly, you are approachable and professional. You understand that good administration is not only about accuracy and efficiency, but also about how people experience the business when they interact with it.
Ideally, you will bring:
- Previous bookkeeping and financial administration experience, including invoicing, reconciliations and debtor management.
- Confidence using Xero accounting software and learning new business systems.
- Strong numerical accuracy, organisation and attention to detail.
- Warm, professional and confident written and verbal communication skills.
- A high level of discretion, integrity and confidentiality.
- The ability to work independently,
manage competing priorities and follow tasks through to completion.
- A proactive approach and willingness to identify practical ways to improve systems and processes.
- Experience within healthcare, allied health, professional services or a similar setting will be highly regarded but is not essential.
A bookkeeping, accounting or business administration qualification is desirable, although equivalent practical experience is equally valued. You do not need to know our systems or industry from day one. We are looking for someone who is capable, dependable and proactive, and who wants to take genuine ownership of their area while contributing to the wider team.

The role is anticipated to be structured between 0.6 and 0.8 FTE, with flexibility around working days and hours for the right person.
