POSITION SUMMARY n
The Sales Operations Manager provides sales and commercial operations support for the WWT Victorian business. The role owns the day-to-day operational lifecycle from quote through purchase order, fulfilment, invoicing and cash collection, OEM, distributor and supply chain partners. The role ensures complex, high-volume transactions are progressed accurately and at pace, with clear ownership,
customer reporting and alignment to manufacturer lead times and delivery schedules.
n
The role will peer directly with our key customers and will work closely with WWT's Inside Sales Team, buyers, AP/AR, sales, finance and supply chain teams to provide a seamless quote-to-cash experience.
KEY RESPONSIBILITIES Business intelligence and financial reporting n
n
- Maintain a single operational view of all active opportunities, quotes, purchase orders, orders, invoices and payment status.
n
- Track commercial milestones, payment terms and dependencies across OEMs and distributors, escalating risks before they impact delivery.
n
- Provide accurate weekly and ad hoc reporting on quote, PO, order, shipment, invoice and payment status.
n
- Support account forecasting and reporting by maintaining accurate operational and commercial data.
n
Client cadence and internal reporting nn
- Act as the day-to-day operational peer to key enterprise procurement coordinators and a central point of coordination for commercial and order activity.
n
- Providing clear status reporting, actions, risks and dependencies.
n
- Coordinate internally with WWT's ISR, buyer, AP/AR, sales, finance and supply chain teams to ensure actions are completed at the right time.
n
- Maintain clear ownership and escalation of outstanding actions across WWT, OEMs and distributors.
n
Onboarding, training and compliance nn
- Coordinate customer, OEM and distributor onboarding requirements needed to transact efficiently.
n
- Ensure required commercial documentation, approvals and internal processes are completed before key quote, PO, shipment and invoicing milestones.
n
- Support adherence to WWT commercial controls and customer-specific procurement requirements.
n
- Document account-specific processes and ensure relevant teams understand roles, hand-offs and escalation paths.
n
Operational excellence nn
- Own and coordinate the end-to-cash process, from quote creation through PO receipt, ordering, fulfilment, invoicing and payment.
n
- Coordinate quote and PO timing against OEM manufacturing lead times and delivery requirements to reduce the risk of schedule slippage.
n
- Work directly with OEMs, distributors and WWT supply chain teams to track availability, lead times, order status,
logistics and delivery dependencies.
n
- Coordinate payment-term alignment and work with AP/AR and finance teams to ensure supplier and customer payment milestones are understood and met.
n
- Identify operational risks, gaps or delays early and drive them to resolution across the relevant internal and external teams.
n
- Build repeatable processes, trackers and reporting that can scale with the volume and complexity of the business.
n
- Continuously improve the customer experience by simplifying hand-offs, increasing visibility and ensuring clear accountability from quote through cash.
n
QUALIFICATIONS AND EXPERIENCE Education nn
- Bachelor degree in business, information systems or a related field.
n
- A combination of education, training and experience may be considered in place of a degree.
n
Experience nn
- Progressive experience in sales operations, commercial operations, order management, supply chain coordination or a related field.
n
- Experience supporting large, complex technology transactions involving multiple OEMs, distributors and internal stakeholders.
n
- Demonstrated experience managing quote-to-cash processes, including quoting, purchase orders, order tracking, invoicing and payment coordination.
n
- Experience working directly with sales teams, customers, procurement teams, finance, distributors and technology vendors.
n
- Experience operating in a quick-paced environment with high transaction volumes, tight deadlines and multiple concurrent priorities.
n
Knowledge, skills and abilities nn
- Strong understanding of sales operations and the end-to-cash lifecycle.
n
- Strong commercial awareness, including payment terms, purchase orders, invoicing, lead times, logistics and order dependencies.
n
- Excellent organisational skills and attention to detail, with the ability to maintain control across a large volume of concurrent transactions.
n
- Ability to work independently, move quickly and proactively identify and resolve issues before they impact the customer or delivery schedule.
n
- Strong stakeholder management skills and the ability to coordinate across customers, sales, ISR, buying, AP/AR, finance, OEMs, distributors and supply chain teams.
n
- Clear written and verbal communication skills, including concise executive and customer status reporting.
n
- Strong process discipline with the ability to build scalable workflows, trackers and operating cadences.
n
- Advanced Microsoft Excel skills and confidence working with large data sets, reporting tools and CRM/order management systems.
