Mind Connections is a specialist psychiatry and psychology practice in Carlingford, part of a two-site group with Norwest, and we are looking for a medical receptionist for two fixed days a week, 8:30am to 5:00pm at our Carlingford practice.

The front desk is one of the most important roles in our practice. It is the first contact every patient, family member and referring GP has with us, and it sets the tone for everything that follows. It also carries real responsibility: referral validity, Medicare and DVA rules, third-party billing, and a full diary across several clinicians. We want someone who takes ownership of that and treats every patient, family member and referrer as someone the practice values.

Key responsibilities

Being the practice's first point of contact, and resolving what you can at first contact rather than passing it on

Managing appointments, the waitlist and recalls

Processing referrals and intake paperwork

Taking payments and lodging Medicare, DVA and third-party claims

Supporting the psychiatrists, psychologists and interventional treatment team, including TMS and esketamine

Calm, kind and composed when the desk is busy or a conversation is difficult

Careful with detail





Sound judgement to decide what needs a clinician now, what can wait and what needs escalation

Someone who notices when something could work better and says so

Medical reception experience welcome but not essential

Mind Connections has been a specialist practice since 2005. We are a small, stable team, and our clinicians have been with us for years.

We work as a team and share responsibility for how the practice runs. The Operations Manager is on site, full training is provided, and support is there whenever you need it. We don't micro-manage. We hire people we trust to run the desk and give them room to do it.

Reception is central to how we work. It shapes the experience of every patient and clinician, so we ask for your view on decisions that affect the front desk. The practice is investing in its people, systems and training, and new clinicians are joining as we grow.
