About the Role

We are seeking a highly organised and proactive Client & Construction Coordinator to become a key member of our team.

This role is ideal for someone who enjoys working with people, thrives on organisation and takes pride in providing exceptional customer service.

You will act as a central point of coordination between our clients, office team, consultants, suppliers and site supervisors, helping guide clients through every stage of their journey from initial engagement through to handover.

We are looking for someone who genuinely enjoys building relationships, coordinating multiple moving parts and ensuring our clients feel supported throughout the process.

Key Responsibilities

Client & Project Coordination

- Coordinate meetings and appointments with clients

- Attend meetings and prepare detailed meeting notes and action items

- Maintain regular communication with clients throughout their project

- Track client decisions, approvals and outstanding items

- Respond to client enquiries and ensure timely follow-up

- Liaise with suppliers, consultants and subcontractors





- Maintain accurate project records and documentation

- Monitor project progress and assist with workflow management

Contract Administration

- Prepare and issue HIA building contracts and supporting documentation

- Coordinate contract inclusions, specifications, allowances and special conditions

- Ensure all required client information is obtained prior to contract preparation

- Variation preparation and administration throughout the project lifecycle

Team Support

- Support estimating, production and site teams

- Follow up outstanding information and approvals

- Ensure information is communicated effectively across the business

- Assist with continuous improvement of systems and processes

About You

You will ideally have

- Experience in residential construction, project coordination or client liaison

- Exceptional organisational skills

- Strong written and verbal communication abilities

- Excellent attention to detail
- The ability to manage multiple projects simultaneously

- Confidence communicating with clients, suppliers and consultants

Building industry experience is essential
