About Us

Essen Remedial Massage is a professional and growing massage clinic located in Essendon North. We provide a range of professional massage treatments and pride ourselves on delivering a welcoming, organised and professional experience for every client.

Due to our growing client base, we are looking for a friendly, reliable and organised Clinic Receptionist to join our team on a casual basis.

Pay rate is $20 per hour, however this may vary depending on experience and skills.

About the Role

This is a hands-on clinic reception position. You will play an important role in the day-to-day running of the clinic, providing professional service to clients while supporting our therapists and managing bookings and clinic tasks.

Your Responsibilities

- Managing client bookings and appointments using Halaxy booking software
- Booking, rescheduling and cancelling appointments
- Answering incoming phone calls and assisting clients with enquiries
- Making outgoing calls to clients regarding bookings, enquiries and follow-ups
- Responding to email and online enquiries
- Following up new client enquiries
- Welcoming clients and assisting them with their appointments
- Processing EFTPOS and other client payments
- Processing HICAPS health fund claims
- Preparing and processing invoices
- Managing client payments and accounts
- Providing information about our treatments, therapists and availability
- Updating and maintaining accurate client information in Halaxy
- Managing cancellations, waitlists and appointment changes
- Supporting therapists with their daily schedules and bookings
- Following clinic policies and procedures
- Maintaining a clean, organised and professional reception area




- General reception duties and assisting with the smooth operation of the clinic

About You We are looking for someone who is:
- Friendly, professional and approachable
- Confident speaking with clients in person and over the phone
- Organised and attentive to detail
- Reliable and punctual
- Comfortable working in a busy clinic environment
- Confident using computers and learning new software
- Comfortable handling payments and invoices
- Willing to learn Halaxy and HICAPS
- Able to multitask and prioritise tasks effectively
- Professional and well-presented
- Able to work independently and as part of a team
- Confident making and answering phone calls

Experience Previous experience in reception, medical/allied health, massage, beauty or healthcare environments will be highly regarded.

Experience with Halaxy, HICAPS, health fund claims, invoicing or EFTPOS is an advantage. Training can be provided to the right applicant.
