Serendia is seeking an experienced Contracts Administrator to support our growing project portfolio across the ACT and Queensland.

Based in Canberra and reporting directly to a Project Manager, you will play a key role in procurement, subcontract administration, progress claims, variations and project financial reporting. Attendance at ACT project sites will be required as needed.

We are looking for someone who understands construction, applies sound commercial judgement and follows matters through to resolution.

What you will be doing

Working closely with your Project Manager and site teams, you will:

- Manage procurement - Prepare trade scopes and tender enquiries, evaluate quotations, identify exclusions and scope gaps, negotiate commercial terms and recommend subcontract awards.
- Administer subcontracts - Prepare subcontract documents and purchase orders, coordinate execution and track obligations throughout project delivery.
- Assess subcontractor claims - Review progress claims against work completed and contract requirements, resolve discrepancies and prepare payment recommendations.
- Manage variations - Assess entitlement,



scope and pricing; negotiate with subcontractors; prepare client variation submissions; and maintain accurate variation registers.
- Prepare client progress claims - Collate supporting evidence, prepare submissions and follow up assessments and outstanding items.
- Support head contract administration - Review contractual requirements, track notice and submission deadlines, and prepare correspondence, notices and extension-of-time submissions with the Project Manager.
- Monitor project financial performance - Maintain budgets and commitments, update cost-to-complete forecasts and contribute to monthly cost, cash flow and profit reporting.
- Identify commercial risks early - Flag potential overruns, unpriced changes, procurement gaps and contractual issues, with practical recommendations.
- Maintain reliable project records - Keep Procore and associated systems accurate, including contracts, claims, variations, correspondence and commercial registers.
- Coordinate commercial close-out - Reconcile final accounts and track outstanding subcontract obligations, warranties and retention milestones.

You will take ownership of these activities, with commitments and approvals managed in accordance with Serendia’s delegated authority.

What you will bring

- At least 3 years of Contracts Administrator experience in the construction industry.



This is essential.
- Australian citizenship is an essential requirement for this role.
- Practical experience in subcontract procurement, contract administration, progress claims and variations.
- The ability to interpret construction contracts, scopes of work, drawings and specifications.
- Sound commercial judgement, including the ability to identify scope gaps, challenge unsupported costs and negotiate fair outcomes.
- Experience preparing cost reports, tracking commitments and contributing to cost-to-complete forecasts.
- Proficiency in Procore or a comparable construction management system, such as JobPac, together with strong Microsoft Excel skills.
- Clear written communication and the confidence to deal professionally with subcontractors, consultants and clients.
- Strong attention to detail, reliable follow-through and the ability to manage competing deadlines independently.
