About the Position
As the Events Coordinator & Host for Azabu Group across Prefecture 48, you will play a pivotal role in delivering an exceptional, premium guest journey from initial enquiry through to execution across both precinct venues and designated off-site locations. Balancing active floor hosting with dedicated event administration, you will oversee end-to-end event logistics, conduct precinct art tours, liaise directly with clients and external suppliers, and drive revenue opportunities through strategic upselling and proactive lead management. This hands-on position requires a sophisticated, welcoming presence alongside meticulous organisational standards to maintain guest profiles, coordinate seamless multi-venue operations, and uphold benchmark hospitality standards.
What you will do
- End-to-End Event Coordination: Lead logistics from initial concept through to bump-in, live execution, and pack-down across precinct venues, as well as off-site and interstate activations.
- Operational Planning & Run Sheets: Create comprehensive function sheets, floor plans, and run sheets in close alignment with kitchen, beverage, and venue floor teams to ensure smooth service delivery.
- On-the-Day Management: Act as the primary in office contact during events—troubleshooting challenges in real time, coordinating casual staff and suppliers, and ensuring high-touch guest satisfaction.
- Client & Enquiry Management: Promptly handle incoming phone and email enquiries, qualify leads, capture client briefs,
and maintain regular communication to deliver tailored, memorable event experiences.
- Guest Systems & VIP Profiles: Manage and update event reservations, guest profiles, and VIP dining preferences accurately within SevenRooms.
- Marketing & Collateral Support: Collaborate with the Head Office marketing team to support B2B, B2C, and internal campaigns; draft targeted EDMs; and organise branded event signage, bespoke menus, and collateral.
- Supplier & Vendor Relations: Research, negotiate, and coordinate external suppliers, entertainment, contractors, and third-party venues.
- Finance & Administration: Process event invoices, track client deposits, manage basic payment reconciliations, and maintain departmental checklists, SOPs, and inventory records.
- Continuous Improvement: Proactively identify operational efficiencies to elevate service quality and support the rollout of exciting new hospitality offerings.
What You’ll Bring
- Proven experience in event coordination or functions management within premium hospitality, precinct operations, or catering environments.
- Hands-on familiarity with reservation and event management platforms (experience with SevenRooms is highly regarded).
- Outstanding communication and interpersonal skills, with the natural ability to build rapport with clients, suppliers, and internal teams.
- Exceptional organisation and multitasking abilities, staying composed and resourceful under pressure.
- Flexibility to work event-based hours, including evenings and weekends when required.
