About the role

Our client is a leading financial services firm with a reputation for excellence and a fast-paced, high-performance culture. We are seeking a highly capable, polished, and proactive Executive Assistant to provide comprehensive support to senior executives in their Sydney office.

This is a critical role at the heart of the leadership team - you will be the trusted right hand to executives who operate in a demanding, globally connected environment. Key Responsibilities

- Complex Calendar & Meeting Management: Proactively manage ever-changing calendars, scheduling high-stakes internal and external meetings across multiple time zones.
- Domestic & International Travel: Arrange detailed business travel, including flights, accommodation, ground transportation, and comprehensive itineraries.
- Executive Correspondence & Liaison: Professionally manage business correspondence, screen and prioritise communications, and act as a key liaison between executives and internal/external stakeholders.
- Event Planning & Coordination: Plan and execute on-site and off-site events, including leadership offsites and team-building activities.
- Project Management: Handle ad-hoc projects with minimal supervision, demonstrating strong follow-through and the ability to manage multiple priorities.
- Discretion & Confidentiality: Handle highly sensitive and confidential information with the utmost discretion and professionalism.

Qualifications & Requirements Essential Skills & Experience:

- Experience:



Minimum of 5–8 years as a senior Executive Assistant, administrative qualified, or in a high-touch customer experience role—ideally within financial services or a fast-paced corporate environment.
- Technical Proficiency: Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Core Competencies: Superior organisational skills, strong attention to detail, and exceptional written and verbal communication skills in English.
- Personal Attributes: High energy, a positive attitude, and a proactive, self-starter mindset. Intellectually curious, resourceful, trustworthy, and possess the highest ethical standards.
- Flexibility: Ability to adapt to a dynamic schedule and maintain composure under pressure.
- Work Rights: Full working rights in Australia required.

Preferred:

- Experience supporting C-suite or senior leadership within banking, asset management, or professional services.
- Familiarity with Australian business practices and time zones across APAC and global markets.
