We work closely with builders, developers, finance professionals and conveyancers to deliver fixed-price, full-turnkey house and land packages.

We’re looking for an experienced Client & Construction Coordinator to support our clients from Expression of Interest through contracts, settlement, construction, handover and post-handover.

This role is ideal for someone who is equally strong with people and process.

You’ll understand the detail involved in residential construction while being someone our clients can rely on for clear communication, regular updates and support throughout their journey.

The role

You’ll coordinate a portfolio of clients at different stages of the home-buying and construction process, making sure documentation is accurate, deadlines are followed up and nothing falls through the cracks.

Your responsibilities will include:

Coordinating clients from Expression of Interest through to post-handover

Coordinating land and building contracts, plans, inclusions, variations, deposits and supporting documentation

Liaising with clients, builders, developers, land agents, brokers and conveyancers

Monitoring finance approvals, settlements, pre-construction requirements and construction milestones

Providing clients with clear and regular progress updates

Responding confidently to client questions by phone and email

Proactively following up outstanding documents, approvals and actions

Maintaining accurate notes, records and next steps in HubSpot

Identifying potential delays or issues early and escalating where required

Working with our Property Consultants to ensure a smooth transition from sales into contracts and construction

Attending occasional Melbourne client handovers and display-home openings

About you

Ideally, you’ll have experience in residential construction, house and land,



contracts administration or a similar property environment.

You’ll be:

Highly organised with strong attention to detail

Confident communicating with clients and property professionals

Familiar with residential building contracts and the construction journey

Proactive and comfortable following up outstanding matters

Calm and solutions-focused when issues arise

Able to work independently and take ownership of your workload

Confident using CRM and digital document-management systems

Genuinely committed to creating a positive client experience

Most importantly, you’ll be someone who notices what needs to happen next and makes sure it gets done.

This is a permanent part-time role of 30 paid hours per week, Monday to Friday, generally structured around six paid hours per day with flexibility for the right person.

Approximately 80% of the role can be performed from home, however you must be Melbourne-based and available for occasional client handovers, meetings and display-home openings. Some weekend availability will be required from time to time and arranged in advance.

Every client knows where they are in their journey. Every file has a explicit next step. Contracts and deadlines are followed up, potential issues are identified early, and clients feel genuinely supported from the day they choose their property through to receiving their keys.
