About the Role
We are seeking an experienced healthcare professional to join our practice as a Clinical Administrator in a permanent full-time capacity.
Working closely with the Surgeon and Practice Manager, you will play a key role in coordinating patients throughout their treatment journey, including surgical and theatre bookings, clinical preparation, post-operative coordination and ongoing patient support.
The role combines clinical administration, patient care coordination, theatre and hospital liaison, and specialist practice operations, providing an important link between the Surgeon, patients, hospitals and other healthcare providers.
The position is based across our Norwest and Wahroonga locations, with some early starts required on clinic days.
Key Responsibilities
The role includes, but not limited to;
- Patient Care & Post-Operative Coordination: Supporting patients throughout their treatment journey, coordinating pre- and post-operative requirements, providing routine patient education and post-operative guidance in accordance with the Surgeon’s instructions and established care plans, and escalating clinical concerns appropriately.
- Surgical & Theatre Coordination: Managing theatre bookings, hospital admissions, theatre lists, equipment and prosthetic requirements, and coordinating with hospitals, anaesthetists, assistant surgeons,
medical representatives and other healthcare providers.
- Clinical Administration: Collecting and maintaining relevant patient and clinical information, coordinating allied health services, preparing patient care plans in consultation with the Surgeon, supporting wound and dressing reviews where appropriate to training and experience, and preparing relevant medico-legal, insurance and allied health documentation.
- Patient Billing & Financial Administration: Preparing patient quotations and financial consents, coordinating patient billing and payments, and assisting with Medicare, health fund and other relevant claims.
- Clinical Operations & Compliance: Maintaining accurate patient records and clinical documentation, managing clinical supplies and equipment, supporting infection control and accreditation requirements, and ensuring established privacy, consent and clinical procedures are followed.
About You
We are looking for a professional, organised and patient-focused individual who enjoys building relationships and coordinating high-quality patient care within a specialist healthcare environment.
To be successful in this role, you will have:
- Previous experience within a specialist medical, surgical, hospital, allied health or clinical administration environment.
- Experience coordinating clinical workflows, theatre bookings, hospital liaison and patient care pathways.
- An understanding of pre- and post-operative patient care, surgical pathways and patient education.
- Excellent communication, organisational and interpersonal skills, with the ability to manage competing priorities in a busy environment.
- A qualified and compassionate approach, with strong attention to detail and discretion when handling confidential information.
- A proactive and reliable approach, with the ability to work both independently and collaboratively.
- Experience using practice management software, preferably Gentu.
