Western Geotechnical & Laboratory Services (WGLS) is seeking an organised, proactive and detail-focused Office Coordinator to join our team in Welshpool.

This is a key coordination role supporting the day-to-day operation of our laboratory. You will help ensure samples are booked in accurately, testing priorities are communicated clearly, laboratory schedules are maintained, and client deadlines are actively monitored.

The role provides administrative and operational support to the Laboratory Manager and Business Manager and works closely with clients, management and laboratory personnel.

About the Role

As the Office Coordinator, you will support the smooth day-to-day operation of the laboratory by coordinating administrative activities, maintaining the laboratory schedule and helping ensure explicit communication between clients, management and laboratory staff.

This position would suit someone who enjoys working in a busy operational environment, can confidently manage competing priorities and takes pride in keeping information, schedules and records accurate and up to date.

Key Responsibilities

Your responsibilities will include:

· Preparing and maintaining the daily laboratory schedule in consultation with the Laboratory Manager

· Coordinating task allocations and communicating approved testing priorities to laboratory personnel

· Monitoring due dates, workflow progress and scheduling or resource conflicts

· Escalating potential delays, capacity constraints and deadline risks to management





· Coordinating the accurate and timely booking and registration of samples, test requests and client information

· Reviewing test requests for administrative completeness and obtaining clarification where required

· Maintaining sample storage, retention and authorised disposal records

· Supporting the preparation, formatting and maintenance of controlled procedures, forms and administrative documents

· Maintaining accurate electronic and physical records in accordance with quality-system requirements

· Monitoring stock levels and ordering approved office, warehouse and nominated laboratory consumables

· Responding to routine client enquiries and providing professional customer service

· Receiving visitors and supporting the general presentation and organisation of the office

· Maintaining the confidentiality and integrity of client, sample and business information

· Performing other reasonable administrative and coordination duties as directed by the Laboratory Manager or Business Manager

About You

To succeed in this role, you will have:

· Strong organisational and time-management skills

· The ability to prioritise tasks and respond effectively to changing operational requirements

· Excellent attention to detail and a commitment to accurate data entry and record keeping

· Strong written and verbal communication skills

· A skilled and customer-focused approach

· Confidence communicating with clients,



management and laboratory personnel

· A proactive approach and willingness to take ownership of tasks

· The ability to work effectively in a process-driven environment

· A continuous-improvement mindset

· Good general IT skills, including proficiency with Microsoft Office

· A valid driver's licence

Experience with the following would be advantageous:

· Microsoft Excel

· Canva

· Xero

· Scheduling, coordination or administration within a laboratory, construction, engineering or technical-services environment
