At RSM, our people are at the heart of everything we do. We're looking for a highly organised and detail-oriented Client Onboarding & Administration Assistant to join our team and play a key role in supporting the client lifecycle from onboarding through to offboarding.

KEY RESPONSIBILITIES:

- Provide administrative support for client onboarding and offboarding activities, following established policies, procedures and checklists.

- Assist with the preparation, processing and distribution of client onboarding and offboarding documentation.





- Liaise with clients and internal stakeholders to collect information and documentation required for onboarding and offboarding processes.

- Complete administrative compliance tasks, including client acceptance forms, AML/CTF checks, identity verification, conflict checks, ASIC searches and other required documentation.

- Maintain accurate client records within practice management and document management systems.

- Set up, update, transfer and archive client files and records in accordance with firm procedures.

- Monitor shared inboxes and respond to routine enquiries or escalate matters where required.

- Track onboarding and offboarding activities to ensure documentation is completed and stored appropriately.

- Assist with data entry, reporting and record-keeping activities related to client administration processes.

- Support the wider team with general administrative duties as required.

About you:

EDUCATION REQUIREMENTS

Essential

- Completion of Year 12 or equivalent.

Desirable

- Certificate II or III in Business Administration or a related discipline.

DEMONSTRATED EXPERIENCE & ATTRUTES

Essential

- Previous experience in an administrative, client service or customer support role, in a professional services, accounting or corporate office environment.

- Strong data entry and record management skills with a high level of accuracy.

- Well-developed organisational skills and the ability to manage routine tasks and competing deadlines.

- High attention to detail and commitment to maintaining accurate records.





- Strong written and verbal communication skills.

- Ability to follow established procedures, policies and checklists.

- Proficient in Microsoft Office applications, including Outlook, Word and Excel.

- Ability to handle confidential information with discretion and professionalism.

- Positive, team-oriented approach with a willingness to assist others.

- Exposure to client onboarding, customer administration or document management processes.

- Familiarity with practice management or document management systems.

- Basic understanding of compliance requirements such as client identification and verification processes.

- Experience using Xero, APS, XPM, MYOB, CAS360 or similar business systems.
