Office Manager – Paediatric Allied HealthLEAP Centre | Frenchs Forest, Northern Beaches
LEAP Centre is a growing paediatric allied health practice providing Occupational Therapy and Speech Pathology services to children and families across Sydney's Northern Beaches.
We're looking for an experienced, highly organised and proactive Office Manager to take ownership of the day-to-day administrative operations of our practice and help ensure our clinic runs smoothly, efficiently and professionally.
This is a hands‐on, client-facing role that combines reception and front-desk responsibilities with responsibility for the day-to-day administration and coordination of the clinic. You'll be a central point of contact for our families and therapists and an important part of keeping the practice running well.
About the role
Managing the front desk and day-to-day reception of the clinic
Welcoming children and families and providing warm, professional customer service
Answering incoming phone calls and managing clinic emails
Managing therapist schedules, appointments and client bookings
Coordinating referrals, enquiries and new client intake
Managing billing, payments and general accounts administration
Supporting NDIS and private client administration
Maintaining accurate client and practice records
Supporting and coordinating the broader administration function
Developing and improving administrative systems and procedures
Identifying opportunities to improve efficiency and the client experience
Working closely with the Directors and clinical leadership team
Assisting with clinic programs, projects and other operational tasks as required




About you
We're looking for someone who is capable, dependable and genuinely enjoys taking ownership of their role.
You'll ideally have:
Strong experience in office management, practice administration or a senior administrative role
Excellent organisational and time‐management skills
Strong attention to detail
Confidence managing competing priorities in a busy environment
Excellent written and verbal communication skills
A warm, friendly and professional manner with children and families
Solid initiative and problem‐solving skills
Confidence learning and managing systems and processes
The ability to work independently while also being a collaborative member of the team
A proactive mindset — you notice what needs to be done and take the initiative to make it happen
