Senior Executive Assistant

- Salary: $116,413 - $140,849 plus superannuation
- Fixed term / Ongoing role: Fixed term to 26 February 2027
- Usual hours of work: Full time (flexibility may be available)
- Usual work location: 121 Exhibition Street, Melbourne (flexibility may be available)

The Role

The Senior Executive Assistant provides high-level executive support, strategic coordination and administrative services to the Chief Communications Officer and the Executive Director, Office of the Secretary, and supports the Strategic Communications Leadership Team. The role requires an independent and proactive skilled who can confidently engage with senior stakeholders, manage multiple complex and confidential requests, coordinate priorities and timelines, and provide high-quality administrative and project coordination support. Advanced computer skills and strong consultation, planning and organisational skills are essential.

Main Accountabilities:

- Provide high-level confidential executive support to the Chief Communications Officer and Executive Director, Office of the Secretary, including email and diary management, meetings, agendas and supporting documentation, minute taking, travel arrangements, event management and logistics.
- Coordinate corporate requirements on behalf of the Chief Communications Officer, Executive Director, Strategic Communications Leadership Team and Strategic Communications Branch.
- Review and examine internal and external matters submitted for consideration or approval, advising on priorities, timelines and approval methods,



and undertaking research and investigations on complex and highly confidential matters.
- Design, implement and maintain administrative and office management systems, including tracking briefs, correspondence and approvals and managing Microsoft 365 and other internal department systems.
- Manage and coordinate office requirements including accommodation and hybrid work plans, asset management, workplace health and safety, facilities management, emergency wardens and first aiders.

The Team

The position of Senior Executive Assistant forms part of the Office of the Secretary within the Strategic Communications Branch.

The Office of the Secretary provides high-level support to the Secretary in leading and managing the department's statutory obligations, governance and ministerial commitments. The Strategic Communications Branch supports and enhances the department's reputation, raises the profile of key initiatives, investments and programs, and provides communications, corporate affairs, digital, brand, marketing and customer communications services.

About You

You will use your problem-solving skills to investigate issues, liaise with stakeholders, analyse information from different perspectives and identify workable solutions. You will use your planning and organising skills to prioritise activities,



develop and maintain effective systems and procedures, track progress and respond to barriers. You will also bring strong relationship-building and communication skills, together with proven experience providing high-level administrative and executive support at senior management level.
