About the Role

The Emergency Department Administration Team provides administrative support to the Emergency Department and Emergency Medicine Unit 24 hours a day. The role facilitates all admissions through the Emergency Department, applying sound knowledge of health insurance, policies and procedures relating to the treatment of Medicare ineligible and compensable patients, including the promotion of private health insurance, accurate data collection and the collection of associated monies for inpatient and outpatient services.
The position is also responsible for activating emergency paging throughout the facility, and for additional afterhours services including weekends and public holidays, such as planned patient admissions, afterhours switchboard management, and Fleet & Accommodation management.

Key Accountabilities

- Provide a customer focused first point of contact for the Emergency Department by attending to all face to face and telephone enquiries.
- Interview and collect patient demographics, recording information into the PAS (Patient Administration System - 1PM) and eMR to ensure accurate information is provided to clinical staff.
- Facilitate admissions through the Emergency Department, including 24/7 Emergency Medicine Unit admissions and all afterhours admissions including mental health, general wards, maternity and newborn registrations. Conduct face to face interviews with patients and/or families to obtain financial information, consent and signatures on relevant documentation.
- Apply extensive knowledge of chargeable patient admissions and non-admitted attendances,



providing timely and accurate information to patients and families while promoting private health insurance, including for compensable, Medicare ineligible and DVA patients.
- Participate in monthly Revenue Meetings, providing feedback on relevant revenue issues.
- Prepare and distribute the daily clinical on call roster, troubleshooting issues to ensure critical, accurate data is obtained by 0800 hours daily.
- Collect and receipt monies through the NSW Health Payment Platform for overseas ineligible consultations, imaging procedures and associated consumables.
- Provide afterhours Switchboard Services, Health Information Services and management of Fleet and Accommodation, including distribution and retrieval of keys.
- Undertake the full range of operational, clerical and administrative tasks to ensure the smooth running of the department.
- Prioritise “2222” calls and action emergency response, including paging notifications for trauma consults, strokes and other emergencies requiring a high level of care.
- Work under limited direction to set work priorities and monitor workflow to ensure timeframes are met.
- Prepare statistical data reports for review and correction, ensuring deadlines are met.
- Exercise judgement to find solutions through established methods and procedures, including investigating and evaluating legislation, regulations, instructions and procedural guidelines.
- Scan and audit clinical documentation and ambulance case sheets.

Selection Criteria





- Demonstrated experience in providing high level administrative and clerical support whilst managing workload under minimal supervision.
- Demonstrated organisational and time management skills with the ability to manage conflicting priorities and problem solving.
- Ability to work with a multidisciplinary team.
- Well-developed interpersonal written and verbal communication skills.
- Commitment to maintaining a high standard of professional conduct and confidentiality.
- Proficiency in use of computers and software packages as well as the ability to learn and adapt quickly to new systems and processes.
- Demonstrated ability to collate documents and correspondence with accuracy and clarity.
- Willingness and ability to work a 24 hour rotating roster with flexibility and ability to work additional shifts as requested.
