About the role

The Client Services Officer is part of our Shared Services team, working closely with and supporting the Client Services Manager* to ensure every job moves smoothly from Work In → Work Out, workflows stay accurate and up to date, and every client feels informed, supported, and looked after.

* Our Client Services Manager is currently on maternity leave. During this period, you will work closely with other managers from our Executive Leadership team, who will provide guidance, support, and oversight while she is away.

This role is the engine room that creates order, momentum, and confidence across the team by:

- Keeping work moving through accurate updates and purposeful follow-up

- Keeping systems clean and current (practice management + document management tools)

- Keeping clients updated so they don’t need to chase

- Taking ownership of administrative detail that assists to protect service quality and compliance

Your role is critical to ensure:

Work "flows"

Supporting job progression through accurate workflow steps, consistent follow-ups, and early escalation when items are delayed or at risk.





Success looks like:

Work doesn’t get stuck, job statuses are accurate, and the team can rely on visibility and momentum.

Client communication and confidence

Ensuring client communication is timely, professional, and accurate - including updates, reminders, documentation, and scheduled correspondence.

Success looks like:

Clients feel informed and looked after, and correspondence goes out correctly and on time.

Driving debtors (cashflow support)

Assist to protect the firm’s cashflow by ensuring debtor follow-up is timely, professional, and effective - while maintaining strong client relationships.

Success looks like:

Follow-ups are purposeful and routine, payment commitments are clearly recorded and monitored, risks are escalated early so nothing drifts, and debtor targets are supported and met.

Database accuracy and client records

Maintain accurate and reliable client records so the firm operates safely, efficiently, and compliantly.

Success looks like:

Client records are trustworthy, updates are completed properly, and rework caused by missing information is minimised.

Front-of-house support and client enquiries

Support a responsive and professional client experience through consistent phone coverage, inbox monitoring, and enquiry follow-through.

Success looks like:

Calls are answered professionally,



enquiries are responded to quickly, and inbox items don’t stall or disappear.

Corporate compliance (“zero-miss”)

Deliver accurate and timely ASIC and corporate registry work so entity compliance is maintained and preventable penalties are avoided.

Success looks like:

ASIC work is accurate and on time, client follow-ups protect deadlines, and preventable penalties are avoided.

About you

You understand that client service is not just being friendly - it’s about clarity, confidence, and consistency.

You are dependable, organised, and calm under pressure. You take pride in doing things properly, closing the loop, and keeping work moving.

You:

- Follow up proactively and purposefully to drive outcomes

- Have strong attention to detail and a quality-control mindset, spotting missing steps and risks early

Experience

A minimum of 1–2 years’ experience in a client services or administration role is required. Experience in a professional services environment (accounting, financial planning, legal, or similar) is highly regarded.
