About the Role

We’re looking for a warm, professional and proactive Client Liaison Officer (CLO) to join our friendly administration team. In this rewarding role, you’ll be the first point of contact for residents, families, and visitors — ensuring every interaction is handled with empathy, care, and efficiency.

You’ll also provide vital administrative support to the General Manager and Care Managers, helping to keep the home running smoothly and supporting new residents through their admission journey.

Key Responsibilities

- Provide a friendly, empathetic customer experience — in person, by phone, and via email.

- Conduct tours for potential residents and their families, showcasing our welcoming community.

- Coordinate and oversee the new resident admission process, ensuring all required documentation, systems, and administrative requirements are accurate, complete, and completed within the required timeframe. This includes, but is not limited to:

- Adding and establishing the new resident’s profile in the clinical and medication management systems.

- Ensuring all admission documentation, clinical information, assessments, and consent forms are accurately completed and uploaded.

- Liaising with Accounts/Administration regarding the resident agreement, fees, charges, and financial documentation.

- Developing an understanding of aged care fees and charges to support accurate and timely communication with residents and their representatives.

- Liaising with the resident, family/representatives, GP, allied health professionals, and relevant internal teams to facilitate a smooth admission.

- Ensuring relevant clinical, medication, care,



and personal information is available to the appropriate staff prior to or on admission.

- Identifying any outstanding admission requirements and following up with relevant parties to ensure completion.

- Maintaining accurate and confidential resident records in accordance with organisational policies and regulatory requirements.

- Supporting a coordinated and person-centred admission experience for the resident and their family/representatives.

- Liaise with hospital social workers and internal teams to arrange admission dates and pre-admission requirements.

- Prepare and send communications to residents’ families, staff, and external stakeholders on behalf of the General Manager.

- Record meeting minutes and support administrative tasks for leadership meetings.

- Maintain organised filing of agreements, contracts, and related documents.

About You

You are compassionate, confident, and a great communicator — someone who takes pride in providing exceptional service and building positive relationships. You’re organised, adaptable, and have a genuine interest in aged care and community wellbeing.

To be successful in this role, you will have:

- Qualification in a health-related or administrative discipline (e.g. Nursing, Aged Care, Case Management, Social Work, Administration).

- Experience in Health, Aged Care, or Community Care (real estate experience a bonus).

- Excellent written and verbal communication skills.

- Robust customer service background.

- Ability to work independently and collaboratively within a supportive team.

- Proficiency in Microsoft Office and other relevant software applications.

- Current National Police Check (or willingness to obtain).

- Proof of COVID-19 vaccination.

- The right to work in Australia.
