Customer Support Coordinator (Spare Parts - 4 day work week)

We are seeking an energetic and customer-centric Customer Support Coordinator (Spare Parts) to join our spare parts team where you'll enjoy the best of both worlds with a unique 4-day work week. Working full-time hours from Friday to Monday (9am to 7pm AEDT), you'll have three days per week working from home and then join the team in our office each Monday. A competitive salary package, including a generous allowance, is on offer.
To support a smooth transition into the role and to set you up for success, you'll spend your first three months working from the office (Monday - Friday) while completing your onboarding, training, and getting to know the team.
As one of our Customer Support Coordinator you will bethe key link between our customers and operations teams. You'll manage enquiries, quotations, and sales orders for spare parts, ensuring exceptional service, accurate information, and on‑time supply every step of the way.
This is a hands‑on, fast‑paced role suited to someone who thrives on problem‑solving and building strong internal and external relationships.
About the Role
As Customer Support Coordinator (Spare Parts), you will:
- Build and maintain strong relationships with customers, technicians, and suppliers.
- Be a primary contact for all customer enquiries regarding spare parts where you'll provide accurate lead times, pricing, and availability.
- Process customer orders accurately and efficiently and follow up on quotes and keep backorders up to date.
- Work with warehouse and procurement to confirm availability and order status as well as coordinating freight, shipping documents, and proof of delivery.
- Identify, quote,
and process spare parts orders in the ERP system (MS D365).
- Work closely with the Customer Support Coordinator (Spare Parts) team to proactively manage customer backorders, improve service levels and DIFOT performance, and provide customers with regular updates on outstanding orders.
About You
- Excellent communication and customer service skills, with a proactive and solution‑focused approach.
- High attention to detail and accuracy along with strong organisational skills.
- A proactive attitude and willingness to take ownership.
- Be self-driven and results orientated.
- Previous experience in customer service, administration, spare parts or internal sales.
- Experience in processing purchase and sales orders.
- Collaborative team player, results‑focused, and comfortable in a fast‑paced setting
- Competent in ERP systems (Microsoft Dynamics 365, SAP, Pronto, or similar) and proficient in MS Office applications.
- Understanding of logistics and procurement processes, particularly in mining or remote environments is advantageous.
The successful candidate must have full working rights in Australia, be able to pass a pre‑employment medical, and obtain a National Police Clearance before commencement.
