The Opportunity
n
We are looking for an experienced and enthusiastic Office Manager to join our team and take a key role in overseeing the day-to-day operations of our specialist practice.
n
This is a role for someone who enjoys being organised, proactive and hands‐on. You'll be the person who keeps things moving, supports the team, identifies opportunities to improve how we work and helps create an setting where our doctors, staff and patients feel well supported.

What You'll Be Doing?
n
As Office Manager, you'll help keep the practice running smoothly and play an important role in supporting our specialists and administrative team.
n
Your responsibilities will include:
n
Overseeing the day-to-day administration of the practice
n
Supporting and coordinating the administrative and reception team
n
Working closely with specialists, management and external providers
n
Monitoring workflows and ensuring the administration team operates efficiently
n
Identifying opportunities to improve systems, processes and patient experiences
n
Supporting staff with training, procedures and day‐to‐day operational issues
n
Helping maintain a positive, professional and welcoming workplace
n
Coordinating administrative processes
n
Assisting with staff rostering, leave and workforce planning
n
Supporting recruitment and onboarding of new team members
n
Monitoring administrative performance
n
Liaising with IT, pathology, radiology, and other external providers
n
Assisting with patient billing, accounts and other practice administration
n
Supporting compliance with relevant medical practice requirements
n
Ensuring patient, financial and business information is handled with the highest level of confidentiality
n
Being a calm and practical problem-solver when unexpected issues arise
n
Working with management to implement new initiatives and improvements
n
Who Are We Looking For?
n
We're looking for someone who is more than just an administrator.
n
You'll be someone who naturally takes ownership, sees what needs to be done and gets things moving.
n
You'll ideally have:
n
Previous experience in medical practice management or office management
n
Experience leading or coordinating a team
n
Strong organisational and multitasking skills
n
Excellent communication and interpersonal skills
n
A skilled, approachable and positive manner
n
The ability to remain calm and solutions‐focused in a busy environment
n
Strong attention to detail
n
Excellent computer and administrative skills
n
Experience with Genie practice management software (highly desirable)
n
An understanding of medical practice workflows and confidentiality
n
The confidence to communicate with specialists, staff, patients and external providers
n
A continuous improvement mindset if you see a better way of doing something, we want to hear about it!

The Details

Employment: Full‐time, permanent
n
Hours: Monday-Friday, 8:00am - 4:00pm

Probation: 6‐month probationary period
