Primary duties and responsibilities:
Answer and direct phone calls, emails and website enquiries promptly
Book, reschedule and confirm appointments with education counsellors and Registered Migration Agents
Manage the office calendar and daily appointment schedule
Handle quick enquiries about study pathways, visa services and consultation booking, referring detailed questions to the relevant counsellor or agent
Collect, scan and organise client documents (passports, transcripts, English test results, visa forms) accurately and confidentially
Create and update client records in the CRM/database
Follow up with clients on missing documents, upcoming appointments and application updates
Maintain a clean, welcoming reception and waiting area
Handle incoming and outgoing mail,



couriers and deliveries
Process payments, issue receipts and assist with basic invoicing
Support the team with admin tasks such as data entry, filing, photocopying and ordering office supplies
Keep client information strictly private and confidential
Provide friendly, patient service to clients from diverse cultural backgrounds

Minimum requirements
Bachelor degree (AQF equivalent) in any field
At least 1 year of experience in a customer-facing role
Excellent verbal and written English communication skills
Friendly, skilled and well-presented manner
Proficiency in Microsoft Office (Outlook, Word, Excel) and comfort learning a CRM or booking system
Comfortable communicating with clients from diverse cultural backgrounds
VIC Residents preferred
Driving Licence preferred
Languages known: English, Hindia and Punjabi

Pay: $55,000.00 – $60,000.00 per year
