We are seeking a highly organized and proactive Executive Assistant/ Personal Assistant to support our managing director. The EA/PA will play a critical role in ensuring the smooth operation of our managing directors office, handling a wide range of administrative and executive support tasks.
Key responsibilities
Manage the Director’s calendar, including scheduling and coordinating meetings, appointments and travel arrangements.
Prepare and organise documents, presentations, reports and other materials as required by the Director.
Act as a key point of contact between the Director and internal and external stakeholders, coordinating correspondence and follow-ups as required.
Assist the Director with special projects, business matters and other initiatives as required.
Manage sensitive and confidential business and personal information with a high level of discretion and professionalism.
Anticipate the Director’s needs and proactively manage tasks, reminders, follow-ups and priorities to support the efficient use of his time.
Assist with the organisation and administration of the Director’s personal and business workflows.
Coordinate financial,
legal and other documentation for the Director, including facilitating completion, signatures, lodgement and follow-up where required.
Provide day-to-day personal assistance to the Director, including appointments, bookings, purchases and other personal matters as required.
Provide general executive and administrative support to the Director as required.
About you
Proven experience as an executive assistant or similar role, with a healthcare or finance background highly preferred
Strong organizational and time management skills
Excellent written and verbal communication abilities
Ability to prioritize tasks and work well under pressure
Discretion and confidentiality when handling sensitive information
Robust attention to detail and accuracy
Ability to work independently with minimal supervision
Flexibility to adapt to changing priorities and deadlines
