We are looking for a professional, organised and energetic Receptionist & Administration Coordinator to join our Sydney team.
n
This is more than a traditional reception role. We are looking for someone who can juggle multiple priorities, communicate confidently with staff and visitors, keep things organised and provide reliable administrative support across the business.
n
If you are someone who enjoys being busy, takes initiative and can move between answering a phone call, assisting a visitor, coordinating an administrative task and supporting the wider team without losing attention to detail, this could be the role for you.

About the Role
n
As the first point of contact for our Sydney office, you will play an important role in creating a professional, welcoming and efficient environment.
n
You will work closely with management, HR, operations and other teams, supporting the day-to-day administration of the office and helping ensure things run smoothly.
n
Key Responsibilities
n
n
Welcome visitors, staff, participants, families and external stakeholders in a professional and friendly manner.
n
Answer and direct incoming phone calls and enquiries.
n
Manage general reception and front-office responsibilities.
n
Respond to emails and enquiries promptly and professionally.
n
Provide administrative support to management and internal teams.
n
Assist with scheduling, meetings, appointments and office coordination.
n
Maintain accurate records, files and administrative documentation.
n
Assist with onboarding and administrative requirements for new employees.
n
Support HR and operations with day-to-day administrative tasks.
n
Coordinate office supplies, stationery and general office requirements.
n
Assist with correspondence, document preparation and data entry.
n
Liaise with internal teams and external stakeholders as required.
n
Help coordinate meetings, staff activities and office events.
n
Maintain confidentiality when handling sensitive information.
n
Follow company policies, procedures and compliance requirements.
n
Identify administrative issues and take initiative to resolve them or escape where appropriate.
n
Provide general support across the business as priorities change.
n

About You

The Person We Are Looking For
n

We are not simply looking for someone to sit behind a reception desk.
n
We are looking for a 'go-to' person—someone who notices what needs to be done, communicates well, keeps things moving and is happy to help wherever required.
n
You might be answering a phone call one minute, assisting a visitor the next, preparing documents for management and then coordinating an office requirement. If multitasking comes naturally to you and you enjoy being at the centre of a busy team, we would like to hear from you.

Previous experience in reception, administration, customer service or a similar role.
n
Excellent communication and interpersonal skills.
n
Strong organisational and time-management skills.
n
Good computer literacy and confidence using Microsoft Office.
n
Ability to maintain confidentiality and handle sensitive information appropriately.
n
Ability to work effectively in a fast-paced, on-site environment.
n
Strong attention to detail.
n
NDIS Worker Screening Check or willingness to obtain.
n
Working With Children Check, where applicable.
