Monaro Medical Practice is seeking a capable and proactive Senior Medical Administrator to act as a reliable second-in-charge for reception and administration, supporting daily operations, guiding the administration team, and helping maintain a high standard of patient care and service.
n
This is a permanent part-time opportunity suited to someone with solid general practice administration experience who is confident, organised and ready to step into a senior support role with additional responsibility, accountability and leadership within a friendly team.

About the Role
n
As Senior Medical Administrator, you will be a key member of the front-of-house team and a trusted 2IC supporting reception workflow, patient enquiries, appointment management and day-to-day administrative processes.
n
You will work closely with the doctors, nurses and reception team to ensure patients receive a professional, welcoming and efficient experience from their first point of contact.

Key Responsibilities
n
Reception Operations & Patient Experience
n
n
Provide friendly, professional and efficient reception services to patients, doctors and visitors
n
Manage incoming calls, patient enquiries, appointment bookings and day-to-day front desk workflow
n
Support appointment book management, patient flow and provider utilisation
n
Respond to patient concerns and escalations calmly, respectfully and in line with practice processes
n
Maintain a tidy, organised and welcoming reception area
n
Support clear communication between patients,
doctors, nurses and administration staff
n
n
Administration, Compliance & Systems
n
n
Process patient billings, Medicare claims, private accounts and receipts accurately
n
Maintain accurate patient information, correspondence, recalls and reminders in Best Practice
n
Support scanning, filing, results management and clinical correspondence workflows as directed
n
Assist with maintaining practice policies, procedures and accreditation-related records
n
Assist with reception rosters, leave cover and daily task allocation where required
n
Identify and report issues affecting reception workflow, patient service or practice presentation
n

Second-in-Charge Responsibilities
n
n
Act as a day-to-day second-in-charge for reception and administration, providing practical guidance and support to team members
n
Assist with training, onboarding and upskilling reception team members in practice systems, procedures and expected service standards
n
Promote a positive, respectful and patient-focused team culture
n
Manage minor operational issues where appropriate and elevate staffing, workflow or patient service concerns to the director as required
n
Monitor daily front desk priorities, communication and task completion to support consistent practice operations
n
Contribute ideas to improve reception workflow,
patient communication and administrative efficiency
n

About You
n
We are looking for someone who brings robust medical administration experience, confidence with practice systems and the maturity to be a dependable second-in-charge for the reception and administration team:
n
n
Previous experience in a senior medical administrator, medical administration or general practice reception role
n
Strong understanding of appointment book management, Medicare billing and general practice workflows
n
Experience using Best Practice medical software, with confidence learning new systems and workflows
n
Ability to support, guide and set the standard for other reception team members in a respectful and practical way
n
Highly organised with strong attention to detail and follow-through
n
Strong communication, problem-solving and customer service skills
n
Comfortable balancing hands-on reception duties with senior administrative, team support and second-in-charge responsibilities
n
Professional, calm and solutions-focused under pressure
n
Committed to patient confidentiality, respectful communication and high-quality care
n
Availability to work four to five days per week across rotating open and close shifts between 8:00 am and 6:00 pm
